As a family-run business, it is committed to ongoing success and is currently seeking a dedicated and experienced Executive Assistant to support one of its Principal Directors in both professional and personal capacities.

This role is crucial to the smooth operation of the Principal Director's day-to-day activities, including managing a busy calendar, organising extensive business and personal travel, and handling various office and household tasks. The ideal candidate will have a strong work ethic, excellent organisational skills, and the ability to manage multiple responsibilities with professionalism and discretion. While experience in real estate is beneficial, it is not a requirement. The company values proactive, detail-oriented individuals who can manage both business and personal tasks with equal skill.

The Executive Assistant will act as the primary liaison between the Principal Director and various stakeholders, ensuring effective communication and alignment with the company's goals. The role will also involve personal and household management, requiring flexibility and adaptability in a dynamic work environment. Key Responsibilities:

  • Executive Support: Manage the Principal Director's calendar, schedule meetings, and prepare necessary documents.

  • Communication Management: Act as the primary contact for internal and external communications on behalf of the Principal Director.

  • Project Management: Assist with the coordination of business projects, ensuring timely completion of tasks.

  • Documentation and Reporting: Prepare and edit reports, presentations, and maintain accurate records.

  • Meeting Support: Attend meetings, take notes, and follow up on action items.

  • Confidentiality: Ensure discretion and confidentiality in all matters related to the Principal Director and the business.

  • Problem-Solving: Anticipate needs and offer proactive solutions to support the Principal Director's efficiency.

  • Adaptability: Thrive in a fast-paced environment, managing multiple priorities and adjusting to changing needs.

  • Office Management: Oversee office administration, organise team events, outings, and corporate functions.

  • Personal Assistance: Handle personal errands and household management tasks for the Principal Director and their family.

Skills and Experience:

  • Minimum of 5 years' experience as an Executive Assistant or in a similar role (real estate experience is advantageous but not essential).

  • Exceptional ability to manage multiple tasks, prioritize effectively, and maintain attention to detail.

  • Excellent verbal and written communication skills for interacting with internal and external stakeholders.

  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with scheduling and project management tools.

  • Proven experience in managing complex travel arrangements and itineraries.

  • Ability to adapt to a fast-paced environment and handle shifting priorities with ease.
