About the Role:
This is an exciting opportunity for a proactive individual to join North Hertfordshire College as we enter the next phase of our strategic journey. The role offers the chance to work in a fast-paced and dynamic environment, supporting the Heads of Examinations.
The Exam Officer will support the Heads of Exams to provide an effective day-to-day operation of the examinations function, ensuring compliance with both college and JCQ policies and procedures.

The College operates across three main campuses in Stevenage and Hitchin, employing over 650 staff. With a turnover of £30m, the college provides learning opportunities to over 10,000 students each year from study programmes for 16-18 year olds and apprenticeships through to adult provision locally, regionally and nationally. ROLES AND RESPONSIBILITIES
Main Roles and Responsibilities
- Managing all events within the full examination cycle, from entering students to liaising with awarding bodies, provision of examination sessions, collecting and collating student results and the distribution of certificates.
- Assuring compliance with awarding body regulation and procedures with respect to all assessment activities and the dissemination of information as appropriate.
- Liaising with awarding bodies regarding approval, inspections and change of venue as appropriate.
- Ensure up to date knowledge of required procedures and future development through regular attendance at awarding body briefings and other appropriate staff development events.
- Ensure robust processes are in place to ensure entry deadlines are adhered to. Utilising the creation of electronic entry files and ensuring their timely submission to meet awarding body deadlines.
- Manage the supervision of the running of examinations to ensure they are fully compliant with exam board and college regulations.
- Supporting the Head of Exams with managing the exams team with respect to workload, PDR’s, TOIL and annual leave planning.
- Manage the collection, collation, checking and submission of examination entries and registrations using the (MI) system.
- Managing the accurate and timely completion of achievement data within the MI system.
- Designing and implementing internal procedures, documentation and electronic data capture to ensure that information is available in flexible formats and easily shared, to allow for further analysis.
- Coordinating the process of examination timetable preparation and ensuring checks are made against external awarding body timetables.
- In conjunction with the College ALS team, processing and implementing learner access arrangement requests into the MI system in compliance with individual board regulations.
- Interview, training and allocation of invigilators in line with requirements arising from running examinations. Coordinating and running training sessions for staff as appropriate with regards to examination procedures and awarding body policy.
- Take an active role in developing new procedures including the implementation of software, in the collation of entry information and the submission of data using awarding body secure websites.
- Manage the liaison with staff throughout the College and Hart Learning Group to disseminate information relating to exam entries, fees, closing dates, timetables and achievements.
- To support other areas of the College and Hart Learning Group as required.
- Participate in all training on the relevant data systems used in the delivery of the role, ensuring full compliance and accurate use of the systems and processes.
- Undertake some early morning, evening and weekend work as and when required.
- Provide exceptional customer service to all staff, students and college visitors.
- To undertake such other duties and responsibilities as are appropriate with this level of post as required.
- Participate in enrolment related activities, and Open Evenings, including during the main enrolment period, for both classroom-based students and Apprentices
- To contribute to the effective management and promotion of equality and diversity
- To work in accordance with the Health & Safety at Work Act, ensuring the College is a safe environment for staff, students and visitors.
- To promote with staff and students the importance of safeguarding the welfare of children and vulnerable adults they are responsible for and come into contact with.
