Job summary

Imperial College London is seeking an Events Coordinator to join the Events Sales Team on-site. You will coordinate internal and external events, assist planners from enquiry to execution, and ensure accurate data entry and communication with contributing teams.

You will engage clients and the internal community, delivering high-quality events aligned with Imperial's standards and policies, including health and safety requirements. The role may require evenings and weekend work across campuses.

Qualifications

  • Educated to at least A level standard or equivalent qualification/experience in a similar role.
  • Proven experience in managing events and coordinating complex schedules.
  • Strong written and spoken English with good numeracy.

Responsibilities

  • Coordinate internal and external events and assist event organisers with planning.
  • Enter event details into the booking system and keep departments informed.
  • Engage with internal community and external clients to strengthen services.

Job description

Imperial is a world Top 10 university with an international reputation for excellence in teaching and research. The Hospitality Department of the Property Division are responsible for operating various cafes, restaurants, bars, events and guest accommodation located across all their Campuses to provide affordable and high-quality food and services for the Imperial community and external clients. They create a valuable resource for Imperial, which in turn supports our academic community of world leaders in the provision of Engineering, Medicine, Natural Sciences, Business Management, Research and Teaching.

Are you friendly, confident, and outgoing with plenty of enthusiasm and a can-do attitude? Are you a highly organized individual? If so, we have an excellent opportunity for an Events Coordinator to join the Events Sales Team.

You will be required to ensure that the events coordination is in accordance with health/hygiene legislation and departmental/Imperial policies. You will be responsible for coordinating internal and external events and assist event organisers with the planning of their events, entering all event details on to the booking system and keeping all relevant departments informed.

What you would be doing

You will proactively engage, and provide support and guidance with the internal community, and external clients and further strengthen the events services that are provided to students, staff, and visitors.

You will be responsible for coordinating the delivery of high-quality events in line with Imperial's vision and values. You will coordinate the event at all stages, from direct enquiry through to execution, within agreed service standards and with liaison with the Assistant Events Sales Managers.

You will be responsible for meeting new and existing clients to maintain a positive working relationship and secure new business. You will ensure accurate data entry and recording of booking information and quotes with the ability to effectively communicate requirements to all contributing Teams. You will ensure the clients requirements are delivered to the highest possible standard and that all contractual obligations are met.

What we are looking for
  • Educated to at least A level standard or equivalent qualification/experience in a similar role
  • Previous experience in managing events
  • Experience of prioritising tasks and of managing busy workloads to ensure that deadlines are met
  • Previous experience of working in a team
  • Responsible attitude towards health & safety at work
  • Committed to delivering first class customer service
  • Be highly organised with an eye for detail and accuracy
  • Excellent standard of written and spoken English and numeracy
  • Be computer literate, (e.g. Microsoft Word, Excel, Outlook) and experience of a computerised diary/booking system (ideally Kx) required
  • Have excellent interpersonal and communication skills
  • Tact and diplomacy to deal with people in all circumstances in professional manner
  • Excellent organisational and time management skills, to deliver an efficient and effective service
  • Be flexible and able to work longer hours at business-critical times and across all Imperial campuses which may include evenings and weekends, as and when required
