Join our 5-star Mitie team as an Events Concierge Co-ordinator, serving as the face of a prestigious corporate workspace. You will deliver exceptional first-class service, ensuring a seamless and professional experience for both internal and external clients.
Responsibilities
- Provide genuine, friendly, and professional service to clients such as WPP, third parties, and their guests.
- Familiarize yourself with building occupants, VIPs, and their requirements.
- Maintain excellent English and communication skills.
- Take ownership of meeting rooms and event spaces, ensuring they remain pristine and well-serviced.
- Ensure meeting rooms are correctly set up and proactively monitored throughout the day.
- Liaise with the Concierge Manager and Events booking team to fulfill client requests and collaborate on projects.
- Work closely with the Concierge team and wider staff to manage daily responsibilities.
Main Duties
- Oversee and manage the 10th-floor client meeting rooms and event spaces.
- Perform regular checks of the floor, meeting rooms, kitchen areas, and washrooms, coordinating with cleaning, catering, and maintenance teams.
- Coordinate with third-party event partner Green & Fortune to meet client needs.
- Assist in managing events, client pitches, and meeting room setups.
- Arrange furniture, stationery, and other requirements based on guest requests.
- Handle furniture movement safely using appropriate equipment.
- Use the ‘Robin' booking system (training provided) to review and suggest requirements.
- Support the 1st-floor business lounge and meeting rooms when needed.
- Address areas needing special attention in collaboration with cleaning and maintenance teams.
- Act promptly on health and safety issues such as spills or blocked doorways.
- Support colleagues and undertake additional duties proactively.
- Assist the Concierge Manager with emails and coordination as needed.
- Support the Concierge Manager during absences or leave.
- Deliver outstanding customer experiences, exceeding expectations.
- Promote a culture of customer excellence, ensuring all guests are welcomed professionally.
- Maintain a professional appearance and demeanor.
- Acquire and keep up-to-date knowledge of on-site services to assist clients effectively.
