The Role of Event Coordinator

To help with the coordination and organisation of business Awards Evenings, Forums, and Roundtable events as well as assisting with 2 annual exhibitions.

  1. Work with the web team and marketing manager to keep the in-house awards platform and website up to date with awards branding, sponsor logos, judges details, and category criteria.
  2. Monitor entries and update the editorial/sales teams.
  3. Collate award entries and send them to sponsors/judges.
  4. Help organise the judging days, either face to face or virtually.
  5. Manage all communication with finalists and winners.
  6. Work with the production team to produce finalist/winner logos, certificates, finalist and winner’s e-brochures, etc.
  7. Monitor table sales and collate guest names and dietary requirements via the website and email.
  8. Send all table bookers/sponsors/VIP guests final details and provide the main point of contact for any table booking enquiries.
  9. Help in the research and production of sponsored assets and negotiate with suppliers.
  10. Source, order, and proof trophies for each event.
  11. Prepare all onsite material and equipment and organise transportation to the venue.
  12. Manage the table setup onsite (name places, centrepieces, sponsor assets, etc.).

Forums

  1. Work with the marketing and web team to set up the website for registrations.
  2. Manage online registrations and keep track of attendance numbers, dietary requirements, etc.
  3. Manage the badging and registration of delegates onsite.
  4. Coordinate the transportation to the venue of all onsite equipment, signage, etc.
  5. Liaise with the editorial team to help organise round table events, including emailing invites to potential delegates, collating responses, and monitoring attendee numbers.
  6. Research possible venues and catering options, managing all logistics with the chosen venue.
  7. Keep a running budget for the event and ensure costs are kept within the budget provided by the Commercial Director.
  8. Liaise with the sponsor coordinator.
  9. Manage the virtual/physical event on the day.

Requirements for this Event Coordinator role:

  1. Experience of organising awards evenings (desirable)
  2. High attention to detail
  3. Highly articulate, confident, and eager to learn and develop
  4. Able to work from Central London offices twice a week
  5. 2:1 Degree (or higher)
  6. Strong written and spoken English
  7. Team player
