The Role:
At MyLahore, we don’t just cater events — we create memories. As our Event Coordinator, you’ll be the heartbeat behind the scenes, making sure every celebration — from weddings and private parties to big corporate events — is delivered with heart, flair, and flawless execution.
You’ll be the go-to person for our clients, guiding them from their very first enquiry all the way to the final guest goodbye. If you love being organised, thinking on your feet, and creating unforgettable moments, this one’s for you.
What You’ll Be Responsible For:
Client Experience & Relationship Building:
• Be the friendly face and first point of contact for our clients.
• Understand their vision, dreams, budget, and the finer details.
• Build strong, trusting relationships through clear and warm communication.
• Guide them through menus, layouts, service styles, and timelines.
• Organise tastings and site visits to bring their vision to life.
• Join key meetings with venues and clients as needed.
Event Planning & Coordination:
• Create detailed event plans — from timelines and checklists to layouts and logistics.
• Ensure every detail reflects MyLahore’s high standards of quality and hospitality.
• Secure permits or approvals when required.
• Make sure equipment is safe and up to standard (reporting any issues promptly).
Pre-Event Prep:
• Complete detailed booking forms outlining team responsibilities (catering, kitchen, etc.).
• Host internal planning meetings with kitchen and service teams.
• Double-check all event orders, invoices, and supplier arrangements.
• Inspect event sites to ensure everything from power access to kitchen flow is covered.
• Organise stock, disposables, and anything else needed for a top-class event.
Event Day Delivery:
• Lead pre-event briefings to make sure every team member knows their role.
• Be the calm, confident lead on the day — supporting clients, teams, and suppliers.
• Oversee service, staff appearance, timings, dietary needs, and allergen protocols.
• Lead from the front — solve issues on the spot, keep the energy high, and the vibe right.
• Coach junior team members and provide on-the-job training.
• Ensure service flows smoothly and guest expectations are exceeded.
Post-Event Wrap-Up:
• Lead debriefs to gather feedback and look at ways to improve.
• Collect guest feedback and support with client follow-up.
• Ensure venues are left spotless and equipment returned.
• Support with invoicing and reconciliation.
• Share customer compliments and suggestions with your Event Manager for action.
Admin, Reporting & Growth:
• Keep records up to date in tools like Event Boss or Apicbase.
• Track budgets, deposits, and costs.
• Provide reports to senior management on event performance and client trends.
• Monitor and report on weekly stock and COS (cost of sales).
• Stay on top of trends in the industry to keep us ahead of the game.
What We’re Looking For:
• Experience in event coordination (2–4 years), ideally in hospitality or catering.
• A natural organiser who thrives under pressure.
• Brilliant with people — both clients and team.
• Solid tech and admin skills (Microsoft Office, event planning tools).
• Willing to work evenings, weekends, and peak event dates.
• Physically fit and happy to be on your feet.
Preferred:
• Degree in Hospitality, Events, or a related field.
• Knowledge of food service and presentation.
• Financial know-how to help manage event budgets.
• Experience improving service delivery and customer experience.
• Additional languages and flexibility for travel are a bonus!
