Job description

As an Equipment Co-Ordinator you will be playing a pivotal role within the operations of the company and be responsible for, but not limited to:

  1. Responsible for co-ordinating equipment from all departments and ensuring all equipment is checked out onto the correct job before loading.
  2. Liaise with the Equipment Departments, Account Management team and end customer to ensure all requests and requirements are facilitated in a timely and accurate manner.
  3. Liaise with the distribution team to organise trucks to be dropped and collected from the loading bays, ensuring that the identity of each vehicle is accurately documented.
  4. Ensure vehicles are loaded completely and in a timely fashion to maximise loading bay availability and to ensure that vehicles are loaded safely, securely and of an acceptable standard to avoid customer complaint on delivery.
  5. Work with the Equipment Control Manager & Shift Leaders to understand the current workflow, priority of work and despatch deadlines.
  6. Ensuring departments understand equipment allocation priorities and agree realistic timescales for each consignment.
  7. Be responsible for starting and maintaining a job file for each new Job, including a master pull list.
  8. Ensuring correct communication channels are opened between all relevant parties associated with the production and that all information throughout the day is logged onto the chat.
  9. Liaise with the account manager about any changes to the job as it progresses, ensuring shortages are reported and dealt with in a timely manner.
  10. Ensure all delivery paperwork is complete and added to the file when signed by the customer.
  11. Advise on vehicle size and loading considering load weight and liaise with the Transport Coordinator to agree loading timescales and loading bay requirements.
  12. Demonstrating a positive approach to the company whilst reacting to the high demands of the business.
  13. Ability to manage workload efficiently and meet strict deadlines whilst adhering to the priorities of the business.
  14. To Ensure a clear handover is presented to the following shift, covering any tasks you are not able to complete.
  15. To cover the Out of hours on call phone and call out duties on a rotation basis.
  16. To be available for overtime when workflow demands.

Quality Control:

  1. Ensure sub hires are properly checked and accounted for and scanned onto the correct job.
  2. To have a strong attention to detail, ensuring all equipment is inspected thoroughly and checked out following the correct procedures.
  3. Ensure all items leaving the premises are scanned to the correct job number.
  4. Carry out quality control checks and feedback. Checking items are packaged correctly and labelled for each job.
  5. To capture a quality control photo of every consignment to leave the premises.
  6. Work with the account handlers to communicate status of Jobs and work to accurately report all shorted items in an accurate and timely manner.
  7. To ensure when a job/job part is cancelled the equipment is individually returned and removed from that job in an accurate and efficient manner. Making sure the equipment is taken back into the relevant departments and they are notified to ensure its returned to relevant place.
  8. To maintain your area of work and keep high standards in terms of housekeeping and ensuring that once loaded the bay is cleared and clean for the next job.

Person specification

  1. Must be IT literate with a good understanding of Microsoft Word and Excel.
  2. Able to learn the MBS stock control inventory system (Rental tracker Pro).
  3. Must be able to confidently communicate with internal and external clients receiving instruction and giving advice.
  4. Be able to build strong working relationships with colleagues.
  5. To be able to work under pressure and to challenging deadlines.
  6. Must be able to work evenings and weekends as required.
  7. Self-motivating and organising with the ability to plan workload keep track of multiple jobs.
  8. Experience in the lighting industry would be an advantage, though not essential.
  9. Experience with stock control systems would be an advantage.
  10. Available to work a 40-hour week on a roster basis between the hours of 07:00 to 20:00 Monday to Saturday. Some additional weekend and evening working will be required.
  11. Be willing to help in other departments when time allows to fulfil orders.

Additional considerations

Part of the role may involve taking of project briefs and working autonomously to fulfil them, for example during department moves, stock takes and audits. Working as part of the wider warehouse team, if needed to cover absences, high workloads and unforeseen circumstances.

Weekend and extended hours working is required as the business demands. We work to a highly skilled clientele who demand high levels of service and response.
