Working closely with the Authorising Officer, senior management and operational teams, you will coordinate right-to-work checks, sponsorship administration, visa expiry monitoring, compliance reporting and audit preparation. You will also support pre-employment screening, including AccessNI checks, and coordinate the organisation’s statutory Fair Employment monitoring and reporting obligations in Northern Ireland.

About the role

  • Maintain sponsored worker records, monitor visa expiry dates and coordinate required sponsorship reports.
  • Support the Authorising Officer in maintaining sponsor licence compliance and preparing for Home Office audits and inspections.
  • Monitor changes in immigration legislation and guidance, escalating risks and supporting updates to internal procedures.
  • Maintain compliance registers, prepare management reports and ensure immigration records are accurate and audit-ready.

Recruitment and Onboarding Compliance

  • Coordinate AccessNI checks as part of the onboarding process for new employees, including processing applications, monitoring progress and liaising with candidates and managers.
  • Maintain accurate and confidential pre-employment screening records and follow up outstanding checks in accordance with organisational procedures.
  • Coordinate relevant compliance documentation to support timely and effective employee onboarding.

Fair Employment Monitoring

  • Coordinate the organisation’s annual Fair Employment Monitoring Return in accordance with applicable Northern Ireland requirements.
  • Maintain confidential workforce monitoring records and ensure required information is accurately recorded and reported.
  • Support the organisation’s three-yearly Article 55 reviews of workforce composition and employment practices.
  • Analyse monitoring information and support agreed actions to promote equality of opportunity.

Essential Criteria

  • Educated to degree level.
  • At least two years’ relevant experience in a HR, recruitment, immigration compliance, or related environment or a similar compliance-focused role.
  • Strong organisational skills and the ability to manage competing priorities and deadlines.
  • Experience maintaining confidential and records and preparing audit or compliance documentation.
  • High level of accuracy and attention to detail.
  • Excellent analytical, written and verbal communication skills.
  • Competent IT skills, particularly Microsoft Office and Excel, and experience using HR or document management systems.
  • Professional, approachable and discreet maintaining confidentiality at all times.
  • Full UK driving licence and access to a vehicle for work purposes.

  • Experience using the Home Office SMS, ideally with Level 1 user access.
  • Experience supporting a licensed sponsor employing international healthcare workers.
  • Experience administering AccessNI checks and coordinating pre-employment screening.
  • Experience working within healthcare, particularly independent healthcare or social care.
  • CIPD qualification, working towards CIPD qualification or equivalent relevant HR or immigration or legal qualification (e.g. OISC or law degree) preferred, although equivalent practical experience will be considered.
  • Knowledge of Northern Ireland Fair Employment monitoring, annual returns and Article 55 reviews.
