Reports to (Job Title): Head of HR – Sales, Marketing, Operations and Finance
Main Goal
Responsible for supporting the administration of HR operational processes, systems, and reporting in the delivery of HR services. Assist in supporting the HR team in the implementation of HR policies and procedures as required.
The individual must work well in a collaborative setting, as teamwork and close cooperation with other HR colleagues are essential for the successful delivery of this role. This role will require covering for other HR colleagues during absences such as holidays and sickness.
Responsibilities/Tasks
Adhoc/Day to day tasks
- Manage and respond to HR queries via shared mailbox, employee portal, SharePoint, and Teams professionally and respectfully.
- Support administration for employee lifecycle matters, benefits, compensation, and letter administration, ensuring timely activations and deactivations with the broker and accurate reflection on OnBase.
- Perform DBS checks and liaise with employees, line managers, and customers to ensure governance and safeguarding standards are met.
- Manage fleet administration, including fines, charges, and hire car support.
- Support the design and development of digital HR operational changes to improve service delivery.
- Perform other tasks as directed, consistent with the role level.
Payroll
- Assist in administering the monthly payroll process, liaising with stakeholders to prepare payroll input.
- Handle payroll queries post-processing.
Benefits
- Administer and update pension files with the pension provider and support first-line pension queries.
Onboarding and Leavers
- Manage onboarding and leaver processes to ensure timely processing, accurate payroll data, and compliance with governance.
- Oversee onboarding administration using MS 365, update HR systems (OnBase), send welcome emails, and prepare new starter documents.
- Support database administration for KnowBe4, our eLearning platform.
Audit/Reporting
- Support audit processes by ensuring employee data is current and retrieving documentation as needed.
- Maintain HR systems, ensuring data accuracy and compliance with legislation and policies.
- Update headcount reports and organisational charts monthly for Europe and Japan.
- Ensure all HR records and systems are accurate and up-to-date.
Knowledge, Experience & Skills
- Experience managing demanding administrative tasks professionally.
- Proficiency in MS 365 applications (Word, Excel, Outlook, SharePoint, Power Automate, Forms, Planner).
- Strong organisational skills, diligence, and ability to manage responsibilities and projects.
- Excellent attention to detail; good communication skills; Maths and English at grade A-C or equivalent.
