Job description

We are working alongside a National Leading M&E Contractor who is seeking an Office Manager to join their team in West Yorkshire. This is a fantastic opportunity to join an industry-leading company where you will become an instrumental part of the team, working closely with and supporting the Regional Director and Senior Management Team.

Role Overview

The Office Manager is primarily responsible for providing administrative and procedural support to the Contracts Teams. You will manage and coordinate the Admin Team, bringing extensive experience to drive exemplary support, and assist the Senior Management Team in delivering the department's strategy and future goals. This role offers the opportunity to join an enthusiastic and established team committed to meeting targets.

Key Duties
  1. Oversee the day-to-day operations of the contracting department, liaising with engineers and senior management to ensure timely and efficient support.
  2. Support Engineers and Site Managers with the production and collation of Quality, Health, Safety, and Environmental documentation.
  3. Provide general administrative support to all employees.
  4. Organise training sessions and courses for the department.
  5. Enforce office policies and procedures to ensure compliance.
  6. Manage the reception team, calls, and reception desk.
  7. Coordinate travel and hotel bookings for management and site teams.
  8. Compile monthly reports on training, accident statistics, and subcontractor hours.
  9. Maintain project documentation in line with company policies, ensuring accuracy and accessibility for stakeholders.
  10. Facilitate the flow of information, including uploading, editing, printing, and distributing drawings, specifications, and reports.
  11. Organise and maintain the project filing structure on Microsoft Teams and SharePoint.
  12. Prepare documentation for health & safety and quality audits.
  13. Manage building maintenance tasks such as fire and intruder alarm testing.
  14. Conduct office inductions for new employees.
  15. Undertake additional tasks as required.
Requirements
  1. Experience managing a team.
  2. Ability to handle sensitive and confidential information.
  3. Experience with electronic document management systems.
  4. Ability to work independently with minimal supervision.
  5. Strong interpersonal skills and team-oriented mindset.
  6. Excellent relationship-building skills with clients and internal teams.
  7. Proficiency in Microsoft Office programs.
  8. Knowledge of office management systems and procedures.
  9. Excellent communication skills, both written and verbal.
  10. Strong time management skills with attention to detail.
