Job description

Elemental Energies is seeking a highly motivated and organised Proposals & Business Development (BD) Coordinator to support the growth of our business. This role will support our global tenders and day-to-day BD operations, ensuring effective communication with internal and external stakeholders, and assisting with the BD activities that contribute to the success of the company.

The ideal candidate will have strong organisational skills, excellent communication abilities, and a proactive approach to problem-solving. This is a varied role requiring creative thinking, an eye for detail, and the ability to manage multiple priorities in a fast-paced environment.

Key Duties & Responsibilities:

Proposal Support:

  • Work collaboratively across internal stakeholders and subject matter experts to compile and submit high-quality responses to client requests – including proposals, RFIs, EOIs, and PQQs.
  • Review invitation documents, identify information requirements, and ensure each submission is compliant and delivered on time.
  • Support the preparation of post-bid documentation, including responses to requests for clarification and follow-up materials.
  • Draft, edit, and format proposal content to ensure clarity, consistency, and alignment with Elemental Energies’ branding and messaging.

Coordinate BD Activities:

  • Support the planning and delivery of BD-related events, meetings, and conferences.
  • Manage associated logistics and provide coordination support for client engagements and follow-ups.

Marketing Support:

  • Help maintain the company’s marketing calendar, ensuring alignment across campaigns and deadlines.
  • Assist with scheduling and coordination of social media content and support the preparation of marketing materials and internal/external communications.

Research & Market Analysis:

  • Support with market research, including competitor analysis, industry trends, and client developments to assist strategic planning.

Reporting & Tracking:

  • Maintain and update BD pipelines and CRM system.

Documentation & Record Keeping:

  • Ensure all proposals and BD documentation is well-organised, accessible, and kept up to date, supporting effective team collaboration and audit-readiness.

Person Specification:

Knowledge & Qualifications:

  • Proficiency in Microsoft Office 365 (Word, PowerPoint, SharePoint, Teams), Adobe Acrobat, and CRM software.
  • Understanding of tender processes and proposal development best practices.
  • Knowledge of the energy, engineering, or decommissioning sectors (desirable).
  • Qualification in business, marketing, communications, or a related discipline (desirable).

Skills:

  • Strong written and verbal communication skills.
  • Creative mindset with confidence in drafting both proposal and marketing content.
  • Excellent organisational skills and the ability to prioritise competing deadlines.
  • Strong interpersonal skills with the ability to work collaboratively across teams.
  • High attention to detail with a proactive approach to problem-solving.

Experience:

  • Previous experience in a proposals, business development, or coordination role, ideally within the energy, engineering, or decommissioning sectors.
  • Experience supporting tender submissions or managing elements of the bid lifecycle.
  • Experience coordinating logistics for industry events, conferences, and customer engagement activities (desirable).
  • Exposure to marketing coordination and content scheduling (desirable).
