Position: Band 3 Secretarial Support
Job Overview

Provide effective secretarial support to the clinical audit team, including coordinating meetings, managing correspondence, maintaining records, and supporting administrative functions to ensure smooth operations within the team.

Main Duties
  1. Perform secretarial and administrative duties for the clinical audit team.
  2. Type correspondence, reports, and documents accurately and promptly.
  3. Act as a communication focal point for the team.
  4. Maintain confidential electronic and manual records.
  5. Coordinate diary management and meeting arrangements across divisions.
  6. Oversee room bookings and meeting logistics.
  7. Prepare and support meetings, including agenda production, minute-taking, and distributing papers.
  8. Contribute to administrative procedures and local audit activities.
  9. Support retrieval and delivery of medical records for audits as needed.

Person Specification

Essential Qualifications: Recognized IT qualification (e.g., RSA 3, NVQ 3, ECDL) and GCSE English and Mathematics or equivalent.

Experience & Knowledge: Experience in a busy office, knowledge of office procedures, proficiency in Microsoft Office, and experience in meeting administration and minute-taking.

Desirable: Healthcare secretarial experience, familiarity with Trust systems (e.g., Monday.com), and involvement in service improvement initiatives.

Skills & Attributes: Strong interpersonal and communication skills, flexibility, organization, initiative, attention to detail, and ability to work both independently and as part of a team.
