1508 London is a global high-end Interior Design studio based in central London that creates exceptional spaces worldwide. 1508 London is looking to recruit an EA and Operations Manager to join our fast-paced and busy studio. The responsibility of the EA and Operations Manager is to support the Chief Executive Officer in the successful running of the business while maintaining the high standards and smooth-running of the Front of House, office, and operations. Proactivity, anticipating needs, and continuously improving processes are essential in this fast-paced environment. REPORT TO: Chief Executive Officer.
DIRECT REPORTS: Front of House, IT Manager, Operations Team.
KEY STAKEHOLDERS: Owner, Board Members, Senior Management Team, Staff, Suppliers, and Clients.
Key Responsibilities
Executive Support:
- Provide an effective and efficient support service to a very high level of competency in support of the CEO.
- Extensive diary and logistics management.
- Manage the CEO’s papers and documents to ensure preparedness for all appointments.
- Ensure secure handling of all documents and information within the CEO’s office.
- Screen and redirect incoming messages, using initiative to alert the CEO of high-priority issues.
- Act as the point of contact among executives, employees, clients, and external partners.
- Assume a “gatekeeper” role, acting as a bridge between the CEO and internal/external stakeholders.
- Organise and coordinate Annual General, Board, and senior management team meetings, including sourcing gifts, venues, vendor management, room setup, logistics, catering, and attendee management.
- Coordinate extensive and complex travel arrangements for personal and business purposes, including itineraries.
- Draft, review, and send communications on behalf of the CEO.
- Prepare meeting materials, including agendas, presentations, and reports. Take meeting minutes and track action items for follow-up.
- Handle sensitive and confidential information with discretion and integrity.
Operations Management:
- Direct, develop, and manage the Operations/Front of House team with confidence and exemplary standards.
- Accountable for overall service delivery, performance, and operational KPIs and SLAs.
- Drive change to enhance services, maximise technology and innovation, and communicate best practices across the team.
- Oversee administrative activities, IT support, facilities, and key stakeholder experiences.
- Manage IT Manager to resolve technical issues, cost-save, and develop global company IT solutions.
- Proactively manage health and safety, ensuring compliance with legislative and company policies.
- Ensure the Front of House areas are immaculate and studio standards are maintained.
- Train and manage the Operations team to ensure efficient execution of responsibilities.
- Liaise with supplier account managers to coordinate, update, and cost-save suppliers and contacts.
- Manage and improve risk assessments, global policies, and documentation.
- Complete and update the company audit ISO 9001.
- Organise social/wellbeing events, and spearhead the company-wide social committee.
Desired Skills
- Prior EA experience in a fast-paced, dynamic environment supporting senior leadership is essential.
- Strong verbal and written communication skills.
- Familiarity with office equipment, e.g., scanners, photocopiers, AV.
- Proficiency in Microsoft Office Suite.
- Exceptional organizational and multitasking abilities.
- Ability to work independently, take initiative, and perform under pressure.

The Offer
- Full-time / Permanent position.
- Five days a week in the office – 7 Howick Place, London, SW1P 1BB.
- Hours: 8:30am to 6pm Monday to Thursday and 8:30am to 5.30pm Friday.
