Job Title: Administrative Assistant

Working Hours: Monday to Friday, 10:00 – 18:00, and Saturday, 11:00 – 17:00, with one day off during the week.

Salary: £22,500 - £25,000 per year, depending on experience.

This is a full-time, office-based role.

Role Overview:

We are seeking an experienced, reliable, and organized Administrative Assistant to join our busy, fast-paced, growing team. If you believe you fit this description, we would love to hear from you!

Key Responsibilities:
  1. Ensure smooth operation of all administrative tasks related to client tenancy, handling a high volume of details and checks in a fast-paced environment.
  2. Conduct various checks on potential tenancy clients, including reference, documentation, and status checks, in compliance with company policies.
  3. Communicate with clients, providing necessary information and confirming bookings or rejecting requests when required.
  4. Review and process a large volume of client tenancy booking requests accurately and efficiently.
  5. Inform relevant departments and managers of issues, discrepancies, or additional requirements.
  6. Ensure correct rent, dates, and deposits are collected and documented; coordinate with relevant departments.
  7. Maintain up-to-date records of references, bookings, and deposits.
  8. Manage property keys, issuing them to tenants and updating key codes in the system.
  9. Assist in resolving customer inquiries related to administrative tasks.
  10. Collaborate with team members to ensure effective communication within the company.
  11. Contribute to improving administrative processes by suggesting and implementing best practices.
  12. Uphold confidentiality and handle sensitive information professionally.
  13. Respond quickly to issues, queries, and inquiries, pre-empting potential problems.
  14. Perform other property administration tasks as required.
Candidate Attributes:
  • Experience in a similar industry and administrative roles.
  • Excellent command of English (written and oral).
  • Ability to work independently with a proactive attitude.
  • Proficiency in Word, Excel, and calculations, with strong attention to detail.
  • Excellent organizational and time management skills, adaptable to changing priorities.
  • Reliable and flexible.
