Renewal Administration Assistant
Location: London
Salary: £23,000 - £25,000 per annum (Plus generous target-based bonus potential)
Hours: Monday - Friday and Saturday (With 1 day off during the week to compensate) 10:00 - 18:00 and Saturday 11:00 - 17:00
Our clients are seeking an experienced, reliable, and organized Administration Assistant to join their busy, fast-paced environment.
The Role
You will play a crucial role in ensuring current tenants renew their tenancy contracts, verifying their viability, and finalizing all administrative details on time.
- Send renewal invitations to tenants starting 3 months before contract expiration and at the last 45 days before the end date, with frequent reminders including weekly and daily updates as the tenancy end approaches.
- Negotiate rent and lease terms with tenants, prepare renewal contracts, and send them via Docusign.
- Update tenancy records in the system according to renewal information for use by other departments.
- Prepare Section 21 notices and other relevant documents, sending them to tenants via the appropriate method.
- Conduct tenant financial checks for rent increases to confirm tenant details and new room prices within the renewal process parameters.
- Review client correspondence to determine which tenants wish to renew or not, noting that volume varies seasonally.
- Analyze tenants' payment history to identify suitable renewal candidates.
- Respond to urgent tenant complaints via customer service email, providing response timeframes and escalating to relevant departments.
- Inform appropriate departments and personnel of reported issues.
- Classify complaints, follow up, and present monthly reports to Finance department management.
- Liaise with accounts, property management, admin, and relevant sales personnel.
Skills and Qualifications
- Excellent command of English, both written and oral, with strong communication skills.
- Proven administrative and sales experience is advantageous.
- Proficiency in Word, Excel, with strong calculation skills, attention to detail, and accuracy.
- Excellent organizational and time management skills, with the ability to prioritize and adapt to changing deadlines.
- Ability to build rapport with colleagues, work proactively with minimal supervision, and maintain a positive attitude.
