Job overview

Wolverhampton Talking Therapies offers interventions for Depression and anxiety disorders. We are currently looking to appoint an Administrative Officer to work at Pond Lane to assist the existing team in providing a comprehensive administration service.

Excellent administrative, organisational and communication skills are essential, with the ability to work well under pressure. You must be a team player and able to cope with conflicting demands. You will have the ability to use your own initiative, possess problem solving skills and you must be professional and flexible where required. You must possess excellent attention to detail, have a working knowledge of GDPR and confidentiality, plus the confidence to work efficiently and competently.

Main duties of the job

To provide an efficient, effective, professional and confidential administrative and secretarial service to a designated team. The post-holder will provide comprehensive secretarial and administrative support to the team, including diary management, maintaining records (paper and electronic), in accordance with Trust policy.

To work closely with other administrative staff to ensure continuity of administration support and mutual assistance within the service. It will be expected that the post holder will need to provide cover for team members in times of absence (such as annual leave, sickness etc.) and additionally where the workload of the Team requires it.

To provide a welcoming reception at Pond Lane reception including answering the telephone, handling incoming mail, booking interpreters, maintaining records and processing referrals.

Person specification
  • GCSE English Grade C or above, or equivalent qualification
  • Computer Knowledge including Microsoft packages
  • Ability to maintain confidentiality and understanding of Data Protection Act
  • Ability to manage own workload and be adaptive and flexible in response to additional workload
  • Experience of providing administration support to a team of staff
  • RIO experience
  • Experience of working in a healthcare environment
  • Enable yourself and others to act with confidence and authority in order to achieve the best outcome for everyone

The salary range quoted is as per NHS Agenda for Change pay structures. This is based on the number of years’ working directly within the NHS at the advertised pay band. Experience gained with other NHS Trusts will apply, but candidates without prior experience working direct for the NHS would normally be appointed at the lowest point unless they can demonstrate the equivalent experience and then be eligible for incremental increases in future years.

Successful applicants for clinical posts up to and including Band 4 are expected to hold the national Care Certificate qualification and will be supported to attain this once in post.
