Job description

The Estates and Facilities Directorate (EFD) is seeking an enthusiastic and experienced EFD Business Manager to support senior management and work closely with team members, line managing the administrators.

This is an exciting opportunity for an organised individual who enjoys working with a multidisciplinary team.

The post holder should have advanced knowledge and skills in IT systems and software, experience with CAFM, procurement, and financial software systems, and knowledge of AI and its benefits for streamlining administrative processes.

  • Provide efficient administrative support to a multidisciplinary team, actively managing administrative processes and the team of administrators.
  • Produce reports on EFD performance, operations, and dashboards.
  • Ensure proper procedures for raising PO's and receipting invoices are followed, with full record keeping.
  • Meet targets, identify potential delays, and escalate issues to management.
  • Lead specialised administrative areas within the directorate as approved by the Heads of Services.
  • Manage the administrative team, providing supervision, support, task delegation, and work allocation.

The EFD manages a broad portfolio including security, fire safety, daily cleaning, and mail services, all aimed at creating a safe and healthy environment for patients, staff, and visitors. We oversee Facilities Management contracts and service providers.

Main Areas of Operation:

  • Estates maintenance: working with service providers and PFI partners on planned and reactive maintenance, capital investment, and project delivery.
  • Facilities and hotel management: overseeing cleaning, portering, catering, and other soft services in multi-occupant buildings.
  • Fire safety and security: including training, evacuation procedures, and security advice.
  • Environmental sustainability and carbon management: managing energy, waste, and resource use to minimise environmental impact.
