Estates & Facilities Business Manager

The Estates and Facilities Directorate (EFD) is seeking an enthusiastic and experienced EFD Business Manager to support the senior management, work closely with team members, and line manage the administrative staff.

This role is ideal for an organized individual who enjoys working within a multidisciplinary team.

The candidate should possess advanced IT skills, experience with CAFM, procurement, financial systems, and knowledge of AI applications to streamline administrative processes.

Main duties of the job
  • Provide efficient administrative support to a multidisciplinary team, managing processes and supervising the administrative staff.
  • Produce reports on EFD performance, operations, and dashboards.
  • Ensure proper procedures for raising POs and receipting invoices are followed and records maintained.
  • Monitor targets, identify potential delays, and escalate issues as needed.
  • Lead specialized administrative tasks within the directorate, as approved by the Heads of Services.
  • Manage the administrative team, providing supervision, delegating tasks, and supporting their work.

The EFD manages a broad range of responsibilities including security, fire safety, cleaning, mail services, and maintaining a safe environment for patients, staff, and visitors. We oversee Facilities Management contracts and service providers.

Our main areas include:

  • Estates maintenance: working with service providers and PFI partners on maintenance, capital investment, and project delivery.
  • Facilities and hotel management: overseeing cleaning, portering, catering, and other soft services.
  • Fire safety and security: including training, evacuation, and security advice.
  • Environmental sustainability: managing energy, waste, and resource use to minimize environmental impact.

Person Specification
Knowledge and Qualifications
  • Degree-level education or equivalent experience.
  • Knowledge of administrative procedures, gained through training and experience at postgraduate diploma level or equivalent.
  • Understanding of confidentiality and the Data Protection Act.
Experience
  • Experience in a non-routine environment, with problem-solving skills.
  • Customer-facing experience, resolving queries, and ensuring excellent service.
  • Previous NHS or healthcare setting experience.
  • Management experience in a large, complex organization, preferably within the NHS.
  • Experience with CAFM systems and administrative support.
Additional Experience
  • Procurement and financial systems experience, including data extraction and performance tracking.
Personal and People Development
  • Ability to supervise and support a team, delegate tasks, and manage workload.
Specific Requirements
  • Flexible approach to varied workloads and working with people at different levels.

This role requires a DBS check due to the Rehabilitation of Offenders Act (Exceptions Order) 1975.
