We are currently seeking to recruit an experienced Senior Document Controller to join our team in the South West. This role will require site attendance 3 days per week. Travel and accommodation will be included where applicable. Initiative and problem-solving skills are a must, as are strong interpersonal and communication skills. Candidates will possess experience in implementing document control procedures, setting up, configuring and managing Common Data Environments (CDE) / Electronic Document Management Systems (EDMS) at an administrator level.
Key Responsibilities
- Management & Configuration of CDE - Undertake configuration and day-to-day management of the system, adding and maintaining user accounts and security groups. Includes maintenance of User Directories, IM Protocol and File Naming Protocol.
- Interface with Project Team and other agreed stakeholders - Act as the main point of contact for all queries and requests relating to the CDE system and Document Control procedures (dependencies).
- Provide training on CDE & Document Control Processes & Procedures - Organise and undertake regular training sessions for new users and refresher training for existing users. Provide training and guidance on file naming protocols. Create and maintain training logs.
- Develop and Maintain User Guides - Prepare and update training packs and system user guides.
- Quality Assurance & KPI Reports - Produce weekly KPI's on all issued instructions (RFI's/TQ's etc.) and workflow reports, alongside undertaking Quality Assurance against the agreed recitals on all formally issued documentation.
- Create new project set-ups on CDE - Create new project sites and assign users.
- Support - Provide ad-hoc reports and information on system usage and compliance.
Key Experience
- Role requires gap analysis and consolidation of processes and procedures in accordance to client requirements.
- Comprehensive knowledge of BIM ISO 19650 standards.
- Experience in Asite, preferably at Administrator level.
- KPI reporting.
- Competency in writing protocols.
- Hosting and delivering workshops.
- Experienced Senior Document Controller.
- Experience operating as a System Administrator on at least one CDE/EDMS platform such as Asite, ACC, Aconex, Viewpoint or Procore.
- Ideally experienced delivering within a PMO environment or a large framework/programme.
- Real Estate sector experience desirable.
- Experienced Senior Document Control professional with 8-10+ years' experience.
- Proficient understanding of Asite (or equivalent CDE/EDMS platform such as ACC, Aconex, Viewpoint or Procore) and knowledge of BIM ISO 19650 standards.
- Administrator-level experience using Asite.
