Job Overview

We are currently seeking to recruit a Document Controller to join our Real Estate team. Initiative and problem-solving skills are essential, along with strong interpersonal and communication skills. The role involves implementing document control procedures, managing Common Data Environments (CDE) / Electronic Document Management Systems (EDMS) at an administrator level.

Key Responsibilities
  • Management and configuration of CDE: Undertake configuration and daily management of the system, maintaining user accounts and security groups, and responding to user requests.
  • Interface with Project Team and stakeholders: Act as the main contact for CDE-related queries and requests.
  • Provide CDE training: Organise and deliver training sessions for new and existing users, maintain training logs, and guide on file naming protocols.
  • Provide advanced training: To super users and administrators on advanced CDE features.
  • Maintain Container Configuration & Workflows: Regularly check and fix file/document links and workflows.
  • Develop and Maintain User guides: Prepare and update training materials and system guides.
  • Manage system compliance: Conduct weekly audits and generate compliance reports.
  • Create new project setups: Establish new project sites and assign users.
  • Support: Provide ad-hoc reports, system usage information, and user activity support.
  • Maintain User Directories and Protocols: Keep user access matrices, IM protocols, and file naming protocols current.
  • Respond to ad-hoc requests: Offer advice and guidance on system use and policies.
Qualifications
  • 3+ years of IM and/or consultancy experience.
  • Experience with various projects.
  • Administrator experience with systems like Aconex, ViewPoint/4P, Asite, Bentley, ProjectWise.
  • User experience with other CDE/EDMS systems.
  • Advanced Microsoft Office skills.
  • Excellent interpersonal and communication skills.
  • Organised, able to manage multiple requirements, and prioritize tasks.
  • Skilled in presenting and delivering training.
  • Experience setting up and maintaining workflows within CDE/EDMS.
Desirable Skills & Experience
  • Knowledge of Building Information Modelling (BIM) related to IM and Document Control.
  • Experience in stakeholder workshops, process mapping, and advanced CDE features like e-procurement.
