What You'll Be Doing
The Document Controller will provide support to the Regional EDMS Manager with EDMS compliance, the role is responsible for the day-to-day administration, coordination and support of FieldView and Viewpoint for Projects across allocated projects within the region.
The role acts as a key point of contact for EDMS, supporting project teams with document control, system administration, quality assurance, build evidence, reporting, training, and on-site support.
The Document Controller will help maintain consistent EDMS standards across projects by monitoring system use, identifying non-compliance, and supporting the implementation of agreed workflows, naming conventions, forms, and processes.
FieldView & Viewpoint Management
- Support the Regional EDMS Manager with EDMS compliance requirements.
- Manage and maintain project information within FieldView and Viewpoint, ensuring documentation is accurate, organized, accessible, and appropriately controlled.
- Support project setup, workflows, forms, permissions, and user access.
- Complete regular quality assurance checks on project documentation and system information.
- Monitor the use of FieldView and Viewpoint across allocated projects.
- Identify outstanding actions, risks, system issues and areas requiring improvement, escalating these to the Regional EDMS Manager where appropriate.
Compliance & Standardisation
- Monitor EDMS processes to identify areas of non-compliance.
- Ensure agreed document control standards, naming conventions, workflows, forms and processes are consistently followed.
- Record and track corrective actions arising from quality assurance checks and system reviews.
- Support the standardization of EDMS processes across projects.
- Provide guidance to project teams where improvements or corrective action are required.
- Contribute to the ongoing development and improvement of EDMS procedures and working practices.
Training & User Support
- Provide FieldView and Viewpoint onboarding, demonstrations and training to new and existing users.
- Support users with system, document control, and process-related queries.
- Create and maintain user guides, training materials, and process guidance.
- Communicate relevant system and process updates to project teams.
- Promote the consistent and effective use of digital project systems.
- Identify areas where additional user guidance or training is required.
On-Site Support
- Provide regular FieldView and Viewpoint support across allocated project sites.
- Assist with user access, FieldView invitations and QR codes where required.
- Provide hands-on systems and process support to project teams.
- Review system usage on site and identify opportunities for improvement.
- Support project teams in maintaining effective EDMS processes and build evidence requirements.
- Support management reviews, departmental audits and compliance monitoring where required.
What you'll bring
- Experience within Document Control, Electronic Document Management Systems or a similar project information environment is desirable.
- Experience supporting digital document and information workflows, ideally across multiple projects.
- Strong administrative and organisational experience with good record-keeping skills.
- Experience supporting project teams and providing system guidance or training is desirable.
- Experience with FieldView and Viewpoint for Projects would be advantageous.
- Good attention to detail and a methodical approach to document and information management.
- Effective problem-solving skills with the ability to identify and follow up issues.
- Clear written and verbal communication skills.
This role will be based at Taplow, with travel required across the regional sites.

The standard default full-time working hours in the office are 8am-5pm with core working hours 9am-4pm.
