Job summary

Berkeley Group is seeking an experienced Document Controller for its Technical department in Southall, London. You will manage EDMS, coordinate technical drawings and maintain documentation quality across development projects from setup to handover.

The role requires strong organisation, problem-solving and training abilities, with exposure to FieldView and Viewpoint. The position offers a permanent contract and a range of benefits.

Responsibilities

  • Manage and monitor design information within the project EDMS.
  • Review and update roles, permissions, and security access for internal and external users.
  • Coordinate and distribute technical drawings, track document status, and follow up on outstanding tasks.
  • Escalate unresolved document issues to senior managers.
  • Ensure quality control of published documentation, checking revisions and references.
  • Address EDMS queries from stakeholders and provide status reports on progress and RFIs.
  • Act as Viewpoint subject expert and train colleagues on protocols.
  • Manage O&M documentation and handover coordination with clients and providers.
  • Oversee document control processes including uploading, distributing and maintaining records.
  • Support site teams with EDMS onboarding and registration.
  • Generate Field View reports and QA sheets, support Field View administration.
  • Produce reports on query and RFI response times using EDMS tools and Excel.
  • Collaborate with external consultants to ensure compliance with standards.
  • Assist with SharePoint management for internal stakeholders.

What you'll be doing

The Document Controller manages the document control systems and processes for the development from initial set-up to project completion, taking great pride in having a system with the highest possible standards. They will take great pride in creating and supporting that has the highest organisational standards and attention to detail.

  • Manage and track design information within the project EDMS.
  • Review and update roles, permissions, and security access for internal and external users.
  • Coordinate and distribute technical drawings, track document status, and follow up on outstanding tasks.
  • Escalate unresolved document issues to senior managers.
  • Ensure quality control of published documentation, checking revisions, references, and titles.
  • Address EDMS queries from stakeholders and provide regular status reports on document progress, delays, and RFIs.
  • Act as the Viewpoint subject expert, training colleagues and enforcing clear protocols.
  • Manage Viewpoint information requests and maintain key trackers (DCNs, consultant appointments, insurance, and handovers).
  • Oversee document control processes, including uploading, distributing, and maintaining accurate records.
  • Support site teams and stakeholders with EDMS onboarding and registration.
  • Generate Field View reports, provide QA sheets, and support Field View administration.
  • Produce reports on query and RFI response times using EDMS tools and Excel.
  • Work collaboratively with external consultants to ensure compliance with standards.
  • Manage O&M documentation, liaising with clients and O&M providers for handover coordination.
  • Oversee stakeholder folders on EDMS for clients, legal teams, and housing associations.
  • Track and coordinate NCRs with trade contractors to ensure resolution.
  • Assist with SharePoint management for internal stakeholders.
What you'll bring
  • Experience within Document Control, Electronic Document Management Systems or a similar project information environment is desirable.
  • Experience supporting digital document and information workflows, ideally across multiple projects.
  • Strong administrative and organisational experience with good record-keeping skills.
  • Experience supporting project teams and providing system guidance or training is desirable.
  • Experience with FieldView and Viewpoint for Projects would be advantageous.
  • Good attention to detail and a methodical approach to document and information management.
  • Effective problem-solving skills with the ability to identify and follow up issues.
  • Clear written and verbal communication skills.

The standard default full-time working hours in the office are 8am-5pm with core working hours 9am-4pm.
