Deputy Service Manager - Central Staffing

The Wyre Forest Health Partnership is looking for a proactive and organised Deputy Business Services Manager to join our team at Bewdley Medical Centre. This is an exciting opportunity to coordinate our central clinical services and support high-quality primary care across WFHP.

Working closely with the Business Services Director and clinical leads, you will help ensure our services are well organised and responsive. The role includes planning internal GP locums, Extended Access, physiotherapy, our frailty team and visiting services, alongside day-to-day management and support for employees.

We are looking for someone confident managing people, organised and able to work across operational and financial priorities. You will work with clinical and non-clinical colleagues and build strong relationships.

Main duties of the job
  • Coordinate and administer delegated areas of the Business Services operation, including Extended Access planning and scheduling, internal locum GP planning and deployment, and our cross-organisation visiting teams.
  • Report to the Business Services Director and clinical leads to support the delivery of clinical services across our sites.
  • Provide day-to-day supervision and support for employees, including clinicians and other members of multidisciplinary and matrix teams.
  • Oversee the organisation and workflow of central clinical services, ensuring they operate safely, efficiently and effectively.
  • Support employee lifecycle activities, including recruitment, annual leave planning, appraisals and sickness absence processes, as appropriate.
  • Support the delivery of an outstanding patient experience across central clinical services, including responding to and managing patient complaints and escalating where appropriate.
  • Work collaboratively with site and deputy site managers to ensure effective coordination between central services and individual practices.
  • Ensure accurate and timely information is maintained for pay, rotas, scheduling, clinical templates and employee records.
  • Take responsibility for collecting the information required and completing and returning the monthly ICB return for areas in which you have responsbility (eg Frailty).
  • Provide support and guidance to clinical colleagues, acting as an appropriate escalation point when required.

Job responsibilities
  • Manage and coordinate delegated areas of Business Services, ensuring services are appropriately planned, scheduled and staffed.
  • Coordinate the workflow and organisation of central clinical services, including Extended Access, internal GP locums, physiotherapy and visiting teams.
  • Report to Business Services Director and clinical leads to deliver services effectively across WFHP sites.
  • Lead, mentor and support a diverse range of clinical and administrative employees, including completing appropriate employee lifecycle activities.
  • Manage annual leave requests and planning, ensuring these are appropriately coordinated and actioned within agreed timescales.
  • Support or coordinate employee meetings, including appraisals and sickness absence meetings, where appropriate.
  • Ensure accurate and timely processing of pay, rota and scheduling information.
  • Support the Business Services Director with budget management, pay planning, workforce costs and wider financial objectives.
  • Maintain accurate employee records, information and administrative systems.
  • Develop and maintain effective working relationships with site and deputy site managers and colleagues across WFHP.
  • Support the delivery of an excellent patient experience within central clinical services, including managing and escalating complaints appropriately.
  • Work collaboratively with clinical leads to support clinicians in delivering their role outcomes and in their personal and professional development.
  • Ensure relevant regulatory, contractual and healthcare requirements are understood and incorporated into service delivery.
  • Input, maintain and update clinical templates and associated systems, working with clinical leads to ensure they are accurate, appropriate and reflect current service requirements.

  • Previous experience working in Primary Care.
