Job summary

Kingsbury School is seeking a proactive Cover and Reprographics Coordinator to manage daily staff absence cover and oversee the reprographics service, ensuring timely, accurate processing. The role also includes administrative, reception and first-aid duties within the school’s admin team.

The successful candidate will coordinate confidential absence data, support examinations and events, and contribute to safeguarding and welfare of students and staff.

Cover and Reprographics Coordinator

Kingsbury School

Grade E: £26,428 to £26,8469 per annum (£22,311 to £22,649 pro rata)

Permanent – 36 hours per week, term time only plus teacher training days

We are seeking a highly organised, proactive and approachable colleague to join our administration team as Cover and Reprographics Coordinator. This is a varied and important role at the heart of the school, ensuring that daily staff absence is managed effectively and that colleagues receive a responsive, accurate and efficient reprographics service. The successful candidate will also provide administrative, reception and first-aid support as required.

Key Purpose:

To coordinate the school’s daily cover arrangements for staff absence, ensuring that appropriate and suitably vetted staff are deployed effectively.

To oversee the efficient day-to-day operation of the school’s reprographics service, ensuring that requests are completed accurately and within agreed timescales.

To provide high-quality administrative, reception and first-aid support as part of the school’s wider administration team.

Key Responsibilities of the role include:
  • Arranging daily cover for absent teachers and liaising with supply agencies as necessary.
  • Coordinating room changes and cover arrangements for examinations, trips, enrichment activities and other school events.
  • Providing accurate absence and cover information and reports to school leaders.
  • Ensuring that the required safeguarding and vetting confirmations are received before supply staff commence work and providing an appropriate induction and briefing.
  • Ensuring that appropriate work and relevant information are available to staff providing cover.
  • Coordinating reprographics requests and maintaining a well‑organised, professional and efficient facility.
  • Monitoring equipment and stock levels, ordering paper and consumables, undertaking routine troubleshooting and arranging servicing or repairs when required.
  • Providing administrative, reception and first-aid support and promoting and safeguarding the welfare of children and young people.
