Job description

esynergy is looking for a Contract Administrator to join the Contracts and Compliance Team and Back-Office areas. You will assist the Contracts Manager in providing key support services to the Associates and internal Consultant Teams.

You will be part of the Contract Administration Team, contributing to daily business operations, supporting reception duties (including answering calls diverted to your mobile), assisting with internal meetings and training sessions, and occasionally helping with external events and conferences.

Responsibilities:

  • Coordinate with the Contract Admin team to assign and complete tasks.
  • Draft and send contracts for new Associates or clients.
  • Manage onboarding for new Associates, including document collection, referencing, and compliance assessments.
  • Provide references for previous Associates, follow up, and collate references for new placements.
  • Assist with administration of Contracts Procedures, liaising with Directors, Managers, and Staff for extensions, schedules, and new placements.
  • Maintain accurate records of candidate and company details in databases.
  • Audit and archive internal paperwork.
  • Manage the main switchboard number.
  • Perform ad hoc duties as needed.

Requirements:

  • Proficiency in Microsoft Office (Outlook, Word, Excel), messaging apps (WhatsApp, Slack).
  • Ability to quickly learn new software (Kimble, TIFO, Trello, Qdos portal, DocuSign).
  • Strong written and verbal communication skills, especially in explaining processes and handling queries.
  • Cheerful, proactive personality, willing to go the extra mile.
  • Attention to detail, accuracy in contracts and documents.
  • Diligence, flexibility, and willingness to undertake various tasks.
  • Valid Passport and EU work visa if required.
