Job summary

Keyman Personnel is seeking an experienced Executive Assistant / Compliance Manager to join their Dartford team. The role blends compliance management, business administration and executive support to the Directors.

You will oversee ISO management systems, industry accreditations and workforce compliance, ensuring efficient operation and adherence to standards. You will work closely with senior management and external stakeholders to improve processes.

Qualifications

• Experience in compliance management, business administration or similar senior support role.
• Good working knowledge of ISO 9001, ISO 14001 and ISO 45001.
• Experience maintaining compliance documentation, policies and management systems.
• Experience coordinating PQQ submissions and third-party accreditations.
• Strong organisational skills with the ability to manage multiple responsibilities.
• Excellent communication, administration and document management skills.
• Proficiency in Microsoft Office 365, including Excel, Word, Outlook and SharePoint.
• Ability to work independently, prioritise workloads and manage confidential information.
• Previous experience supervising or managing administrative staff.

Responsibilities

• Manage ISO 9001, ISO 14001 and ISO 45001 management systems.
• Coordinate internal and external compliance audits and renewals.
• Maintain construction industry accreditations such as CHAS, SMAS and Constructionline.
• Prepare and coordinate PQQs, supplier approvals and compliance submissions.
• Oversee workforce compliance, including Right to Work checks and CSCS cards.
• Coordinate onboarding, HR administration, training needs and competency records.
• Manage training matrix, CITB administration and relevant construction training.
• Maintain internal business systems, compliance registers and documentation.
• Provide executive support to Managing Directors, including diary management, meetings and reporting.
• Supervise and support an Administrative Assistant.
• Coordinate asset records, fleet administration and related compliance.
• Support site and office compliance audits with Health & Safety teams.
• Identify opportunities to improve administrative processes and reporting.
