Job summary

Cranleigh School is seeking a proactive Co-curricular Administrator to provide executive support to the Deputy Head (Co-curricular) and the leadership team, ensuring the master calendar is accurate, rooms are booked, and staff allocations run smoothly across major school events.

You will manage calendars using SOCS, track participation and budgets, and support communications with parents and staff while safeguarding data and maintaining confidentiality.

Responsibilities

  • Provide high-quality, confidential executive support to the Deputy Head (Co-curricular): diary management, correspondence, meeting administration and papers.
  • Manage the master school calendar using SOCS: maintain schedules, resolve clashes, coordinate room bookings and plan 12–18 months ahead.
  • Administer co-curricular participation records, fixtures and termly awards; monitor budget and collate inspection evidence.
  • Support staff co-curricular allocations and duty rotas each term, liaising with HR on appraisal and staffing queries.
  • Deliver admin and on-the-day operational support for major events (Speech Day, Open Days, masterclasses).
  • Maintain accurate data in school systems and support parent/staff communications related to co-curricular activities.

This is a role for someone who can organise a busy co-curricular programme, keep the master calendar accurate across the school year, and deliver smooth operations for major school events. You will provide direct executive and administrative support to the Deputy Head (Co-curricular) and the wider Co-curricular leadership team, ensuring fixtures, room bookings and staff allocations run without friction.
