Job Description:

The Clinical Administrator at Schoen Clinic York will provide an efficient, effective, and professional reception and administrative support service to patients and colleagues.

Principal Duties
  • Meeting and greeting patients, visitors, consultants, and colleagues at reception, acting as the main point of contact for inquiries.
  • Sorting all incoming post and deliveries; managing outgoing post.
  • Managing the “Enquiries” inbox by responding to and/or redirecting messages as appropriate.
  • Taking telephone calls, directing queries to relevant personnel, and taking/distributing messages.
  • Taking minutes for meetings with the Hospital Director, Lead Nurse, Quality Manager, and Ops Manager, and emailing agendas to relevant parties.
  • Managing meeting room bookings via Outlook, approving bookings, and notifying of clashes to ensure efficiency.
  • Liaising with IT support to set up new starters on IT systems.
  • Administering and distributing petty cash to patients and reconciling receipts.
  • Maintaining neat and tidy reception and waiting areas.
  • Restocking informational leaflets and updating reception notice boards.
  • Monitoring and ordering stationery and medical supplies.
  • Complying with Health and Safety, fire safety regulations, and promoting a safe working environment.
  • Performing any other duties reasonably assigned by the line manager.

Due to high application volume, Schoen Clinic reserves the right to close roles early if a suitable candidate is found. The role may evolve over time with regular reviews and updates in consultation with the post holder.
