Job summary

Betsi Cadwaladr University Health Board (BCUHB) requires an administrative officer to support busy hospital services in North Wales. You will maintain patient case notes, support clinics, and manage mail and visitor reception in a fast-paced environment.

Fluent Welsh at minimum Level 3 is essential, with GCSE maths and English, data protection knowledge, and strong computer skills. The role involves prioritising tasks under deadlines and working within the administration team.

Qualifications

Responsibilities

  • Maintain case notes in the department in good condition and repair damaged notes as required.
  • Compile case notes for new patient attendees at clinic.
  • Collect and distribute patient case notes or urgent items manually when required.
  • Retrieve and return hospital case notes from other departments on request.
  • Set up own work area and prioritise workload as needed.
  • Open and prioritise incoming mail and distribute.
  • Receive and direct visitors and answer queries professionally.
  • Register patients on arrival and complete registration process.

Job Overview

To provide a comprehensive high level, efficient, accurate and prompt administrative service to all stakeholders by assisting in the smooth running of the service. As a member of the Administration Team, a flexible approach to the post is essential to enable prioritising the different workloads and duties.

Main duties of the job
  • To maintain case notes in the department in good condition and repair damaged notes as and when required.
  • Compile case notes for new patient attendees at clinic.
  • Collect and distribute patient case notes or urgent items manually when required to and from other areas of the hospital.
  • Retrieve and return hospital case notes from other departments within the hospital as and when requested by the medical staff.
  • Assist in setting up own work area as appropriate
  • Open and prioritise incoming mail ensuring distribution to the appropriate person.
  • To receive and direct visitors and relatives in a professional and courteous manner at all times and assist in answering queries.
  • On patient's arrival in the department, on a one to one basis, go through registration process with patient.
