Job description

Litchdon Medical Centre is seeking a dynamic and proactive individual to join the Practice Support Team at our large and busy GP surgery. This role will provide key central support to the Practice Manager and wider team members across the practice. The ideal candidate will be a strong communicator - enthusiastic, adaptable, and confident in tackling new challenges. They should also have a keen interest and strong skills in process improvement, problem-solving, and IT troubleshooting.

Interviews are planned for Thursday 13 November 2025.

Main duties of the job

The Business SupportAdministrator plays a key role in providing both administrative and operationalsupport to the management and clinical teams, contributing to the effective andefficient running of the practice. This position involves a broad range ofresponsibilities, including supporting internal and external communications,managing and analysing data, assisting with IT systems and troubleshooting,contributing to service development and project work, and championing the useof digital tools to enhance patient access and practice efficiency.

The role worksclosely with the Practice Manager to support the day-to-day operations of thepractice, ensuring the delivery of safe and efficient services. The BusinessSupport Administrator also assists the Practice Support Administration Managerin monitoring key performance indicators. This includes helping to prepare andsubmit claims for enhanced services and ensuring accurate data recording tomeet contractual and reporting requirements. The role will also work closelywith the Personal Assistant to the Practice Manager to help manage theadministrative aspects of the practice.

The Business Support Administrator must be a proactive and dynamic individual,confident in using IT systems, with the ability to work efficiently,troubleshoot issues, adapt to changing needs, and contribute effectively toproject work.

Job responsibilities

Key Responsibilities

GeneralAdministrative Support

  • Provideadministrative support to the Practice Manager and GP partners, contributing tothe effective day-to-day operations and supporting the delivery of thepractices longer-term objectives.
  • Beconfident and effective in the use of all Microsoft Office applications andother relevant software to collate, analyse, present, and share informationclearly and efficiently across the practice.
  • Supportthe Practice Manager and wider practice team in maintaining compliance with NHSstandards, data protection and information governance requirements througheffective administration and record-keeping.
  • Supportthe coordination of meetings, minute-taking, and follow-up on action points asrequired.
  • Supportthe Practice Manager and Practice Support Administration Manager in the ongoingmonitoring of key performance indicators, including the Quality and OutcomesFramework (QOF), Investment and Impact Fund (IIF), and other GP practiceservice specifications, as required.
  • Coordinate,attend and support the practices GP education meetings, Learning EventAnalysis (LEA) meetings and the Gold Standards Framework (GSF) Multi-DisciplinaryTeam meetings.
  • Actas the non-clinical Green and Sustainability Lead for the practice, supportinginternal meetings and workstreams focused on sustainable and environmentallyfriendly practices. Represent the practice at Primary Care Network (PCN) levelmeetings and contribute to PCN-wide green initiatives.
  • Workclosely with the Personal Assistant to the Practice Manager and the widerPractice Support Team to assist with the day-to-day administrative operationsof the practice.

PracticeCommunications (including social media)

  • Confidentlymanage and create professional, engaging, and patient-focused content acrossthe practices social media platforms to support effective communication,health promotion, and community engagement.
  • Regularlyupdate and maintain the practice website to ensure information is accurate,accessible, and reflects current services, patient resources, and healthcampaigns.
  • Support internal communication, ensuringclear circulation of important information to relevant staff members.
  • Toact as a focal point of communication between the GPs, Practice Manager andother members of the primary health care team, including the BarnstapleAlliance Primary Care Network (PCN) and other local organisations.

IT, Digital &Systems Support

  • Act as the practices IT Lead by supporting thedepartmental IT super-users and act as a point of contact for IT issues andescalate more complex issues appropriately. This includes hardware, telephonysystems and other digital tools used within the practice.
  • Support user management, access rights, and trainingfor new and existing staff on practice software and digital tools.
  • Be confident in the use of patient online servicesand understand how they integrate with clinical systems to support and promotedigital access. Act as the practices NHS App Champion, resolving relatedqueries from both patients and staff and encouraging wider adoption of digitaltools.
  • Play a pivotal role in supporting the safe,effective, and innovative use of digital solutions within the practice,including maximising the functionality of existing systems and assisting withthe adoption of new technologies such as AI to enhance service delivery andpatient care.

Project Work and Service Planning Support

  • Support the Practice Manager and wider team in theplanning, documentation, coordination, and delivery of practice improvementprojects and service development initiatives.
  • Assist with gathering and analysing data, patientfeedback, and other relevant information to inform service planning anddecision-making.
  • Help coordinate stakeholder engagement, includingstaff, patients, PCNs and neighbourhoods to support collaborative servicedevelopment.
  • Participate in practice and PCN-level meetings orworking groups related to service design, digital transformation, or qualityimprovement.
