Position: Team Secretary (12 Month FTC) - PDS Building Surveying business line

We are seeking a Secretary to support the Building Surveying team within P&DS. The successful candidate will provide administrative support, including travel & meeting arrangements, diary management, drafting reports and proposals, and ad hoc PA support to directors. The role will also involve providing holiday and sickness cover to other sub-teams within Building Surveying as required.

Key responsibilities include:

  1. Providing general administrative support to fee earners
  2. Developing and maintaining effective relationships with clients and colleagues
  3. Managing diaries, meetings, travel, conference calls, and booking meeting rooms
  4. Handling team expenses, onboarding and offboarding processes, holiday records
  5. Typing, formatting, and printing reports for clients
  6. Maintaining accurate electronic and paper filing systems, archiving, document scanning
  7. Supporting the team director with pipeline trackers, debt, and accruals monitoring
  8. Coordinating marketing and team events as needed
  9. Providing holiday cover within the admin team
  10. Performing other duties as reasonably required

Candidate requirements:

  • Proficiency in MS Word, Excel, Outlook, and knowledge of PowerPoint
  • Ability to meet deadlines and produce work efficiently
  • Excellent telephone manner and interpersonal skills
  • Ability to build good relationships with clients and team members
  • Work at a fast pace with energy and enthusiasm
  • Discretion and confidentiality
  • Team player with a positive attitude and problem-solving skills
  • Experience in a large, fast-paced team, preferably in real estate
  • Experience with invoice procedures, document formatting, and report writing
  • Ability to work independently
