Job summary

Leicestershire Partnership NHS Trust is seeking a Business Administration Assistant to join the Rehabilitation Administration Team within the Mental Health Directorate. The Huntington’s Disease Community Team supports people across Leicester, Leicestershire and Rutland, providing advice and help for Huntington’s disease and family histories.

The team is based at Stewart House in Narborough, and the role is full time, Mon–Fri, 9am–5pm.

Qualifications

  • Attend meetings and take minutes for multidisciplinary groups.
  • Plan and organise training, appointments and events.
  • Diary management for self and others with effective email communication.
  • Create and format professional communications and materials.
  • Order goods/services and monitor invoices reconciliation.
  • Handle complaints and escalate where needed.
  • Maintain trackers, data collection and accuracy in records.

Responsibilities

  • Attend meetings and take minutes; circulate actions and follow up.
  • Coordinate training, travel and events; manage diary schedules.
  • Draft letters, leaflets, presentations and reports to high standard.
  • Monitor orders and ensure delivery, receipt and invoicing.
  • Maintain data quality in SystmOne and related records.

We have an exciting opportunity for a Business Assistant to join our team within the Directorate of Mental Health.

The Huntington’s Disease Community Team support people who live in Leicester, Leicestershire and Rutland, as well as Northamptonshire. The service gives advice and help to people who have Huntington’s disease, as well as those who have a family history of the condition.

The team is based at Stewart House in Narborough and the role is full time Mon to Fri 9am - 5pm.

We have access to a range of specialist services, which helps us give full and complete care. Our aim is to make sure our patients feel well supported. We also work closely with the inpatient service at Mill Lodge in Leicester, which provides healthcare 24 hours a day, 7 days a week for people living with Huntington’s disease.

We also provide an advice service in Northamptonshire, where we work with local GPs to support their patients.

We work with many different healthcare professionals and send referrals to them when needed. By working closely with these experts, we make sure referrals are made at the right time and match each person’s individual needs.

We are looking for candidates who are compassionate, hard working and able to support the clinical team with admin duties and be a part of the wider Rehabilitation Administration Team.

Job Description Summary (Main duties and responsibilities)
  • As a Business Administration Assistant, you will be required to attend meetings, taking minutes/notes of multidisciplinary meetings, circulating documentation including identifying actions ensuring they are logged, prioritised, and are followed up.
  • You will be planning and organising training, appointments and events which will include co-ordinating travel arrangements and guest speakers.
  • You will undertake diary management for yourself, and others and you will communicate effectively via email, including implementing a flagging/prioritisation system.
  • You will be creating and formatting professional communications, such as letters, leaflets, presentations, reports and briefings to a high standard.
  • You will be ordering goods or services, monitoring progress of orders, checking receipt of goods or services to ensure invoices can be reconciled.
  • You will be dealing with complaints and using your own initiative to solve problems and escalating where necessary.
  • Keeping trackers up to date and monitoring appointments progress.
  • Maintaining data collection and it's quality for SystmOne records.
