We have an excellent opportunity for a Bid Coordinator to join this world-leading company in the field of safety and risk management and advanced dispersion, explosion and fire modelling in Warrington.

Our client was founded in 1987 as a consulting brand and in 1998, they were established as an independent company providing advanced safety engineering software, consulting and fire and explosion testing services. They continue to build on the knowledge and expertise acquired for more than 50 years of involvement in R&D and large loss incident investigations and have since become a world-leading company in the field of safety and risk management and advanced dispersion, explosion and fire modelling.

About the role
The Bid Coordinator is responsible for supporting Bid Managers (Consulting Engineers) in producing bid and proposal documentation, including qualification documents for tendering. As Bid Co-ordinator you will ensure incoming client requests are managed and processed efficiently and monitor the pipeline of upcoming work.

Key responsibilities include working as part of the team to manage the overall bid process and help to improve the efficiency and success rate of the bidding process. You will need to remain agile and respond to the day-to-day priorities. The main duties are:

  • Day-to-day active bid support and pipeline management
  • Co-ordinating proposal input from relevant
  • Gathering and presenting relevant information such as capability statements
  • Managing and tracking bid deadlines
  • Providing quality assurance for bids
  • Co-ordinating the bid/no-bid process
  • Managing the company CRM for new opportunities to enable forward planning
  • Producing and delivering compliant, professionally produced proposals within customer defined timeframes

Tasks will also include:

  • Proactive preparation and horizon scanning
  • Day-to-day scanning of opportunities using portals and other directories
  • Monitoring and managing the incoming enquiries mailbox
  • Updating and managing bid support library that is a searchable reference source that can be used to support future bids
  • Supporting the marketing function with relevant project experience and material
  • Liaising with key staff (either in the UK or globally) to identify high-priority customers, opportunities and markets
  • Quality Assurance and Compliance
  • Ensuring the quality of customer service and products provided reflect the highest standards according to their QMS
  • Maintaining up to date knowledge on our services and customers
  • Always demonstrate the business values and behaviours
  • Ensure the GDPR policy is followed

The role will also provide a range of administrative support services which may include telephone support,organising diaries, managing correspondence, postal services and ensuring relevant internal platforms are kept up to date.

About you
To be successful for the role of Bid Coordinator, you must be / have:

  • Bachelor’s degree in administration, STEM subject or other numerate subject
  • Excellent IT knowledge with the ability to use MS office products including Microsoft
  • Excellent management and leadership skills
  • Excel, Word and PowerPoint to produce bid documents
  • Experience within a similar role in an engineering or consultancy environment will be advantageous
  • Good time management skills and the ability to prioritise competing demands
  • Able to manage multiple projects simultaneously and good attention to detail
  • Excellent written and verbal communication skills for a range of audiences and digital platforms and with regard to the sensitivity of communication
  • Excellent self-presentation and a confident communicator with the ability to present effectively
  • Ability to think creatively to solve problems, with a clear commitment for identifying opportunities and delivering improvements
  • Results driven and able to work to deadlines in a fast-paced environment
  • Able to develop and maintain positive working relationships, working cross functionally and involving others
  • Excellent management and leadership skills
