The Audiology Administrator/Receptionist plays a key role in supporting the efficient delivery of the Audiology Service by providing a professional, friendly, and responsive administrative and reception service to patients, carers, visitors, and healthcare professionals. As the first point of contact for the department, the post holder is responsible for creating a positive patient experience through excellent customer service, clear communication, and efficient administration. The post holder will manage a high volume of telephone calls and face-to-face enquiries, responding to routine questions where appropriate and ensuring that more complex clinical queries are directed promptly to the relevant member of the Audiology team. They will be responsible for booking, amending, cancelling, and confirming appointments across a range of audiology clinics, ensuring that clinic templates are used effectively and appointments are allocated in accordance with service protocols and waiting time targets. The role requires the accurate recording and relaying of messages from patients, relatives, GPs and other healthcare professionals. The post holder will ensure patient information is handled securely and confidentially in line with NHS policies, the Data Protection Act, and GDPR requirements. Working closely with audiologists, administrative colleagues, and the wider multidisciplinary team, the post holder will help coordinate daily clinic activities, identify and resolve scheduling issues where possible, and ensure clinics run smoothly. The role requires the ability to work in a busy and often demanding environment, managing multiple tasks while maintaining accuracy and attention to detail. The post holder must be able to prioritise their workload, remain calm under pressure, and adapt to changing priorities while maintaining a professional and courteous manner. Excellent communication and interpersonal skills are essential, as the role involves regular contact with patients who may be anxious, distressed, elderly, or have hearing, communication, or additional support needs. The ability to communicate clearly, patiently, and sensitively is fundamental to ensuring patients feel listened to, respected, and supported throughout their contact with the service. The successful candidate will demonstrate excellent organisational skills, a proactive approach to problem-solving, and the ability to work both independently and as part of a team. They will be confident using computerised patient administration systems and Microsoft Office applications as well as Auditbase. A flexible, reliable, and positive attitude is essential, together with a commitment to delivering high-quality patient-centred care. The post holder will be expected to uphold NHS values, maintain confidentiality at all times, and contribute to the continuous improvement of administrative processes and the overall efficiency of the Audiology Service.
