Job summary

HSBC in Jersey is seeking a Trust Administrator to support day-to-day administration of a portfolio of trusts and related entities, delivering accurate paperwork, responsive service and strong governance.

You will keep trust records, prepare routine admin documents, coordinate expense payments, and liaise with clients, beneficiaries and advisers to ensure information flows smoothly. This on-site role requires good Microsoft Office skills, organisational ability and discretion.

Qualifications

  • Interest in trust administration and willingness to learn about trust documents, and legal and tax processes.
  • Experience with Microsoft Office tools (Excel, Outlook).
  • Ability to organise and prioritise multiple tasks and deadlines.
  • Ability to build trust with clients and advisers; handling sensitive conversations professionally.

Responsibilities

  • Keep trust and entity records accurate, complete and up to date, so information is easy to find and reliable.
  • Prepare routine administration documents (for example, resolutions, minutes, letters and supporting papers) and coordinate reviews and sign-off within agreed authority levels.
  • Coordinate the payment of trust/structure expenses, checking that costs are appropriate, correctly coded/allocated, and properly evidenced.
  • Handle day-to-day communications with clients and beneficiaries, providing clear updates, gathering information, and resolving queries or passing them to the right person quickly.
  • Act as a regular point of contact for professional advisers and service providers (for example, lawyers, tax advisers, investment/property managers and corporate service providers), keeping information moving and expectations aligned.
  • Update client due diligence and ongoing monitoring information, identify gaps or changes (including potential red flags), and escalation concerns in line with policy.
  • Spot recurring issues (for example, missing documents or repeated errors) and suggest practical improvements that reduce rework and improve service quality.
  • Support periodic reviews and audits by providing timely information and maintaining clear supporting evidence.

The Trust Administrator will support the day-to-day administration of a portfolio of trusts and related entities (including structures with underlying companies and pensions), delivering accurate paperwork, responsive service, and strong governance.

In this role you will:
  • Keep trust and entity records accurate, complete and up to date, so information is easy to find and reliable.
  • Prepare routine administration documents (for example, resolutions, minutes, letters and supporting papers) and coordinate reviews and sign-off within agreed authority levels.

To be successful in this role you should meet the following requirements:
  • An interest in trust administration and be willing to learn about trust documents, and legal and tax processes
  • Have basic / intermediate experience of Microsoft office tools e.g. Excel, Outlook
  • Ability to organise and prioritise multiple tasks and deadlines, keeping stakeholders informed.
  • Ability to build trust with clients and advisers; handling sensitive conversations professionally.
