Job summary

Tribe in London is seeking an Assistant Front Office Manager to lead the front desk team, oversee schedules and training, and ensure exceptional guest service. The role involves budgeting, monitoring guest feedback, and coordinating with night managers to maintain smooth operations in a dynamic hospitality setting.

You will drive service standards, address guest inquiries, and mentor staff to uphold Tribe’s reputation for a high level of hospitality across all guest touchpoints.

Qualifications

  • Experience delivering high-quality customer service in a fast-paced environment.
  • Strong office management, basic bookkeeping and budget awareness.
  • Excellent written and verbal English with proactive communication.
  • Proficiency in MS Office, especially Excel and Word.
  • Able to lead, train and supervise front desk teams.
  • Ability to resolve customer issues diplomatically and efficiently.

Responsibilities

  • Organise team schedules, handle staff issues and approve leave.
  • Interview, hire and train new employees.
  • Evaluate performance and provide coaching as needed.
  • Oversee department initiatives within scope, time and budget.
  • Fill in for absent staff and support project completion.
  • Ensure compliance with policies and safety regulations.
  • Maintain high and consistent customer service standards.
  • Inform inventory decisions with trends and data insights.
  • Manage departmental budget and log front office expenses.
  • Prepare monthly reports on feedback, bookings and cancellations.
  • Update records and supervise front office staff and night managers.
  • Ensure timely, accurate customer-related tasks to improve guest experience.
  • Support Guest Services Managers with complaints and special requests.
  • Keep front desk tidy and stocked with supplies.

Job description

  • Organising team schedules, handling staff issues and authorising vacation annual sick leave.
  • Interviewing, hiring, and training new employees.
  • Evaluating employee performance and providing training and guidance as needed.
  • Managing various department -specific initiatives and ensuring that these are completed within the scope, time and budget.
  • Filling in for absent employees and assisting teams as needed to successfully complete projects.
  • Ensuring that employees follow company policies, as well as health and safety regulations.
  • Ensuring a high and consistent standard of customer service.
  • Applying knowledge of emerging and consistent trends to inform purchase and inventory decisions and solutions.
  • Managing the departmental budget.
  • Monitor and log front office expenses and costs.
  • Preparing monthly management reports on customer feedback, bookings, and cancellations.
  • Updating files and records.
  • Supporting, training, and supervising front office staff, night managers, guest service managers.
  • Ensuring that all customer-related tasks are handled accurately and on time to improve guests' experience.
  • Supporting the Guest Services Managers on handling customer complaints and special requests.
  • Ensure timely and accurate customer service.
  • Ensure front desk is tidy and has all necessary stationery and material (e.g., pens, forms, and informative leaflets).
  • Keep updated records of office expenses and costs.
  • Ensure company’s policies and security requirements are met.
  • Supporting the Guest Services Managers in greeting, communicating with and welcoming guests.

Qualifications
  • Ability to remain productive in a high-pressure environment
  • Thorough knowledge of customer service, office management and basic bookkeeping procedures
  • Proficiency in English (oral and written)
  • Solid knowledge of MS Office, particularly Excel and Word
