Job summary

Rullion is seeking an Asset Management Administrator to support the Asset Management team with day-to-day administration and accurate record-keeping of asset, contract and operational data. The role includes coordinating stakeholders, ensuring compliance with procedures, and assisting with reporting and data analysis.

Responsibilities include maintaining records, liaising with service providers, and supporting performance reporting.

Qualifications

  • Experience in administrative, coordination or support roles.
  • Strong organisational skills and ability to manage multiple priorities.
  • Good working knowledge of Microsoft Excel and data management.
  • Experience maintaining accurate records, databases and documentation.
  • Experience supporting reporting, data analysis and performance monitoring.

Responsibilities

  • Maintain accurate records relating to asset performance, contracts and operational activities.
  • Liaise with service providers, internal teams and external stakeholders to coordinate meetings, communications and actions.
  • Support asset-related reporting, including draft performance reports using information from the Asset Manager and monitoring systems.
  • Monitor planned maintenance, service visits, inspections and contractual deadlines, providing timely reminders.
  • Provide administrative and logistical support for operational meetings, including taking notes and tracking actions.
  • Organise and maintain documentation including warranties, service contracts and procurement agreements.
  • Assist with routine data analysis to monitor operational and financial performance using Excel and relevant monitoring systems.
  • Ensure compliance with asset management and procurement procedures, identifying and escalating issues where required.
  • Manage competing priorities, resolve routine issues proactively and escalate more complex matters appropriately.
  • Identify opportunities to improve and streamline administrative processes.
  • Provide general administrative support to the Asset Manager and wider team as required.

Job description

Asset Management Administrator

Location: Fully Onsite, Edenbridge, Kent, TN8 5EA

Contract: 6-month contract (Subjuct to Extention)

Hours: Full-time (reduced hours can be considered)

Rate: £18.00 per hour PAYE / £24.13 per hour Umbrella

Job Purpose

The Asset Management Administrator will support the Asset Management team with day-to-day administration, maintaining accurate asset, contract and operational records, coordinating stakeholders and ensuring compliance with operational and procurement procedures.

The role will also support the Asset Manager with performance monitoring, schedule tracking, reporting and data analysis.

Key Responsibilities
  • Maintain accurate records relating to asset performance, contracts and operational activities.

  • Support asset-related reporting, including preparing draft performance reports using information from the Asset Manager and monitoring systems.

Skills & Experience
  • Previous experience in an administrative, coordination or support role, ideally within asset management, facilities management, energy, utilities, engineering or a similar environment.
  • Strong administrative and organisational skills, with the ability to manage multiple priorities.
  • Good working knowledge of Microsoft Excel, including spreadsheets, data management and basic reporting.
  • Experience maintaining accurate records, databases and documentation.
  • Experience supporting reporting, data analysis and performance monitoring.
  • Strong communication and stakeholder management skills, with the confidence to liaise with contractors, suppliers and internal/external stakeholders.
  • Experience coordinating meetings, schedules, actions and follow-ups.
  • Excellent attention to detail and a methodical approach.
  • Ability to identify and resolve routine issues and escape more complex matters.
  • Experience with contracts, procurement documentation, warranties or service agreements would be advantageous.
  • Ability to work independently and as part of a wider team.
  • Proactive approach with a willingness to suggest process improvements.
  • Experience within a regulated, compliance-driven or operational environment is desirable.
  • Energy or utilities sector experience is advantageous but not essential.
