Job summary

ABL Health is offering an apprenticeship position for a Business Administrator (Level 3) in Birkenhead. You will provide administration support for a smoking cessation service, handle calls, filing, and data entry, and work with staff to meet targets.

You will learn to manage confidential patient files, book appointments, use Excel, Word, Outlook and SharePoint, and contribute to efficient office systems while developing professional admin skills over 1 year 9 months.

Qualifications

  • GCSE English and Maths at grade 4+ (desirable).
  • Apprenticeship pathway: Business Administrator Level 3.
  • Strong organisational and communication skills required.

Responsibilities

  • Take incoming calls and route to the correct person/department.
  • Provide general clerical support and word processing.
  • Maintain confidential patient files on paper and in database.
  • Book appointments and record client data on the service database.
  • Use IT systems including Excel, Word, Outlook and SharePoint.
  • Support Admin and Managers and prepare computerised documents and reports.
  • Cover colleagues during annual leave and sickness as needed.
  • Monitor workload and service targets weekly.

Job description

Introduction

The post holder’s main duties will be to provide administration support for a smoking cessation service. The post holder will be responsible for a range of administration, ensuring the smooth running of the office and the administration of the programmes to meet targets and deadlines set by the funding bodies.

What You'll Do
  • Take incoming calls, ensuring they are transferred to the relevant person/ department and making sure messages are dealt with efficiently
  • To work within a busy office as part of a team, sharing work fairly and efficiently and respecting other admin staff’s skills and competencies
  • To provide general clerical and administrative support including word processing, filing routine correspondence
  • To follow established systems for allocation and completion of work
  • Providing professional administration services to clients and identifying specific needs
  • Manage and maintain confidential patient files on a database and on paper
  • Manage and deal with incoming healthcare referrals promptly, adhering to company timescales
  • Book appointments for clients using service database
  • Record client data accurately on appropriate service database
  • To use IT systems, including Microsoft Excel, Word, Outlook and sharepoint to exchange information
  • Work closely with Admin and Managers and prepare computerised documents and reports
  • Work with service leads to source new venues, working in accordance with company budgets and areas of demand
  • Flexibility to cover colleague’s annual leave, sickness etc.
  • Weekly monitoring of workload and service targets
  • Take meeting minutes, type and distribute as required
  • General administration (record keeping, filing etc.)
