Job description

Bookings & Training Administrator

Temporary Contract 6 12 Months Hours Per Week

Pay: £14.31
Location: Cranfield

Are you an organised, IT-savvy self-starter who enjoys keeping things running smoothly, juggling different tasks and learning new systems?

We're recruiting on behalf of our client for a Bookings & Training Administrator to join a busy, varied team on a temporary basis for the next 6 12 months.

This is a fantastic opportunity for someone who enjoys a mix of administration, customer service, training coordination and event support. Around 30% of the role will focus on general administration, with the remaining 70% dedicated to bookings, training and events.

You'll be a key point of contact for email and telephone enquiries, helping ensure everything runs efficiently, from training course bookings and delegate queries to supporting a major annual conference.

Administration & Office Support
  • Act as the first point of contact for email and telephone enquiries, using Microsoft Outlook and Teams.
  • Manage a shared inbox, ensuring enquiries are responded to promptly, resolved where possible or directed to the appropriate team member.
  • Maintain and update contact databases, ensuring records are accurate and up to date.
  • Prepare and distribute email bulletins, manage mailing lists and handle subscription requests in line with GDPR requirements.
  • Arrange meeting rooms, venues and catering for internal and external meetings.
  • Collate health and safety risk assessments and maintain records of safety equipment, including PPE.
  • Support office supplies ordering and coordinate team events and staff development days.
  • Provide administrative support for Board meetings, including arranging meetings, preparing agendas, taking minutes and coordinating invitations.
  • Assist with maintaining company records and ensuring relevant information is kept up to date.
Bookings, Training & Events
  • Manage training course enquiries, including bookings, availability, fees, payments, membership queries and booking amendments.
  • Maintain accurate booking records and update spreadsheets to track course attendance and delegate information.
  • Register attendees onto online learning platforms, with training provided on the relevant systems.
  • Track training bookings and follow up with delegates, providing reminders and helping resolve any issues.
  • Coordinate venues, travel arrangements and course materials for in-person training sessions.
  • Provide administrative support to trainers, course leaders and presenters.
  • Liaise with finance colleagues regarding invoices, payments, receipts and booking records.
  • Support the promotion of training courses and events through email campaigns, social media, newsletters and website updates.
  • Assist with the organisation of a large annual conference, managing delegate enquiries, bookings, payments, attendance lists and booking changes.
  • Support conference arrangements, including accommodation, travel, venues and sponsor coordination.
  • Attend key events where required, providing on-site support with registration, delegate enquiries, venue liaison and sponsor requirements.
What we're looking for

We're looking for someone who is proactive, adaptable and confident managing a varied workload. You'll enjoy working independently, but you'll also be a supportive team player who isn't afraid to ask questions and get stuck in.

Ideally, you'll have:
  • Strong IT skills and confidence using Microsoft Office, particularly Outlook, Teams and Excel.
  • The ability to learn new systems and software quickly.
  • Excellent organisational skills and attention to detail.
  • Confident written and verbal communication skills.
  • A friendly, professional telephone manner and a customer-focused approach.
  • The ability to manage competing priorities and meet deadlines.
  • A self-starting attitude, with the initiative to identify what needs doing and take ownership.
  • The confidence to work with different people, from delegates and trainers to senior colleagues and external stakeholders.

Experience in administration, bookings, training coordination, customer service or event support would be advantageous. Experience with databases, online booking platforms or learning management systems would also be beneficial, although training will be provided on relevant systems.
