Salary: £26,798 - £29,208 based on 37 hours per week, all year round. Actual Hours Worked: 12 hours per week, flexible across three or four days per week. Actual Salary: £8,691 - £9,472 actual annual salary (Grade B). Provisional start date: January 2027.

Airfield Primary Academy is an exciting and growing school where children, families and staff are at the heart of everything we do. As a new and developing school, no two days are the same, and every member of our team plays an important role in helping us create a welcoming, joyful and ambitious environment for our pupils. We are proud of our supportive and collaborative culture, where colleagues work together, celebrate successes and are always willing to help one another. We are looking for someone who shares these values and who will become a valued member of our team as we continue to grow.

Why Join Airfield Primary Academy?

This is an exciting opportunity to join a growing school at a key stage in its journey. You will be part of a friendly and supportive team that is committed to providing the very best experiences for children and families. We are looking for someone who enjoys being part of a team, takes pride in their work and wants to help make a real difference every day.

About the Role

We are seeking an organised, reliable and proactive School Administrator to support the day to day administration of our growing nursery, preschool and primary school. Reporting to the Operations Manager, you will play a key role in ensuring that our administrative systems run smoothly and efficiently. The role includes responsibility for childcare funding administration, parent invoicing and maintaining accurate records, alongside providing general administrative support and reception cover. Whilst the responsibilities of the role are important, we are equally looking for someone who is positive, adaptable and willing to get involved where needed. In a growing school, there are times when everyone pulls together to support one another, and we value colleagues who are happy to contribute to the school as part of a team. The role is for 12 hours per week, all year round, including INSET days. We are flexible about the working pattern and welcome discussions about what works best for the successful candidate and the needs of the school. This could be three hours per day across four days, or four hours per day across three days.

Key Responsibilities
  • Maintain organised and accurate records relating to children, staff, training and school operations.
  • Provide reception cover, answer telephone calls, respond to routine enquiries and help maintain a welcoming environment for visitors and families.
  • Prepare and manage nursery invoices, ensuring fees, payments and account records are accurate and up to date.
  • Administer childcare funding, including eligibility checks, funding claims, deadlines and supporting documentation.
  • Liaise with CLF colleagues, suppliers and external service providers as required.
  • Support the Operations Manager and Early Years team with general administration and the maintenance of effective systems and procedures.
  • Handle confidential information appropriately and comply with school policies, including safeguarding, GDPR and data protection requirements.
  • Contribute positively to the wider life of the school and support colleagues when required.
About You
  • Have previous administrative experience, ideally within a school, nursery or Early Years setting.
  • Be highly organised, dependable and attentive to detail.
  • Be confident using spreadsheets, databases, email and online systems, and comfortable working with invoices and financial records.
  • Have strong communication and interpersonal skills, with the confidence to build positive relationships with parents, colleagues and external organisations.
  • Be able to prioritise their workload, work independently and meet deadlines.
  • Understand the importance of confidentiality, safeguarding and data protection.
  • Be positive, flexible and willing to work collaboratively as part of a team.
  • Take pride in supporting others and contributing to a positive school environment.
  • Experience of childcare funding and nursery invoicing would be an advantage, although training can be provided for the right candidate.
