Job summary

Cumbria, Northumberland, Tyne and Wear NHS Foundation Trust in Newcastle Upon Tyne is recruiting an Administration Assistant (Band 2) for a full‑time, permanent post. You will work at reception, greet patients and visitors, answer routine enquiries and support the admin team.

The role requires good English and Maths, NVQ Level 2 in Business Administration and in Customer Service, and competence with Outlook, Word, Excel and PowerPoint. Hours are 37.5 per week, Monday to Friday, 9.00am to 5.00pm.

Qualifications

  • Good general level of education in English Language and Maths.
  • NVQ Level 2 in Business Administration.
  • NVQ Level 2 in Customer Service.
  • Working knowledge of Microsoft applications including Outlook, Word, Excel and PowerPoint.

Job overview

Would you like to be part of a team that works well together, always there to help each other? An exciting opportunity has arisen at Reception, Benfield House and we would love to hear from you – come and join our team.

Benfield House is the team base for a diverse number of services including the Specialist Psychological Therapies, Personality Disorder Hub Team and Northern Region Gender Dysphoria Service. The successful applicant will work in the reception, meeting and greeting patients and visitors to the Centre from a diverse community.

The ideal candidate should have excellent communication, customer service and organisational skills, as well as a working knowledge of office procedures including IT skills.

You should currently hold the required level of qualifications, as outlined in the Essential Criteria of the Personal Specification. If you do not meet this criteria you may not be shortlisted.

Main duties of the job

Reception duties i.e. greeting all patient, carers and visitors to the service.

  • Handling routine enquiries via telephone, email or face to face.
  • Creating appointment letters in line with service procedures.
  • Processing internal/external mail.
  • Scanning, uploading, photocopying and filing documentation.

The successful candidate should:

  • Have a good general level of education including a pass in Maths and English.
  • Have knowledge and experience of Microsoft packages, particularly Outlook and Word as they will be using these on a daily basis.
  • Be flexible, show initiative, able to multi task and be adaptable to the needs of the role, team and service.
  • Ideally have experience of working within an administrative role or setting.
  • Be able to demonstrate a sensitive, non-judgmental approach to the client group and have an understanding of confidentiality and data protection regulations.
  • Have good planning and organisational skills and the ability to communicate effectively in a pleasant and approachable manner.
  • Be confident and motivated to work on their own with constant support and contact with the larger admin team.

The post holder will also undertake additional duties such as ordering supplies, requesting repairs and updating rotas and duty sheets. This list is not exhaustive.

Skills and Knowledge
  • Working knowledge of Microsoft applications including Outlook, Word, Excel and Power Point
  • Able to input data accurately and efficiently.
  • Good communication and interpersonal skills, both verbal and written, face-to-face and non-facing customers
  • Good organisational and planning skills using own initiative.
  • Knowledge of working in an NHS environment.
  • Ability to maintain and update patient information database(s).
Education and Qualifications
  • Good general level of education in English Language and Maths
  • NVQ Level 2 in Business Administration.
  • NVQ Level 2 in Customer Service.
  • Working towards Level 2 standard in Maths and English.
