Job summary

Applications are invited from qualified and experienced administration candidates to join our busy administration teams. We currently have a vacancy for a full-time Band 2 Administration Assistant with the Gateshead Community Treatment Team, Lobley Hill Clinic, Gateshead, NE11 0AL. (Postholder will be required at times to be based at Dryden Road Clinic, 136 Dryden Road, Gateshead NE9 5BY, and at Keegan Court, Grassbanks, Gateshead, NE10 8DX)

This is a very busy service, and the successful post holder will be a member of the admin team supporting the multi-disciplinary clinical team to provide a comprehensive, high-quality administrative service at all times. The post holder must facilitate excellent customer service and be confident in dealing with service users face-to-face as well as on the telephone.

Main duties of the job

Candidates must have proven recent 12-month experience of the following:

  • Experience working in a customer/patient-focused environment (face-to-face/telephone/reception)
  • Excellent communication and interpersonal skills
  • Database inputting
  • Electronic filing systems
  • Proficiency in Microsoft Word, Excel, PowerPoint, and Office packages including email
  • Typing letters
  • Good verbal and written communication skills
  • Ability to be self-directed, motivated, and contribute positively within a team
  • Well-organized and structured
  • Ability to change tasks at short notice
  • Reliable and punctual

The post holder will be able to demonstrate the ability to deal with highly distressing or emotional circumstances and will participate in relevant training courses.

You should currently hold the required qualifications as outlined in the Essential Criteria of the Personal Specification. If you do not meet this criteria, you will not be shortlisted.

Person Specification
Qualifications and Training
  • Good general education to O-Level/GCSE or equivalent in English Language
  • NVQ in Business Administration (or equivalent)
  • NVQ Level 2 in Customer Care (or equivalent)
Skills and Knowledge
  • Working knowledge of Microsoft applications, including Outlook, Word, Excel, and PowerPoint
  • Able to input data accurately and efficiently
  • Good communication and interpersonal skills, both verbal and written
  • Demonstrates good Customer Care Skills
  • Good organizational and planning skills using own initiative
  • Knowledge of working in an NHS environment
Experience
  • Experience of working in an administration role
  • Ability to uphold confidentiality at all times
  • Able to prioritize and plan own workload
  • Experience working in an NHS/healthcare setting
  • Experience using stock
  • Experience working with paper-based and electronic filing systems
