ASA Recruitment’s client, a Public Sector organisation in Scotland, is recruiting an Admin Officer for a mostly remote role with occasional travel to the Dundee office for team meetings. Contract is initially 6 months on a PAYE rate of £16.80/hour, based on experience.

Job description

ASA Recruitment’s client, a Public Sector organisation in Scotland, is currently looking to recruit an Admin Officer on a mostly remote basis, on an initial 6-month contract (with potential extensions) on a rate of c.£16.80/hour PAYE (based on experience). Whilst the role will be predominantly remote there will be occasional travel to the Dundee office for team meetings.

Responsibilities:
  • Providing comprehensive administrative support for the delivery of training, including liaising with faculty, delegates and venues
  • Dealing with enquiries in an efficient and professional manner
  • Providing support across multiple shared mailboxes
  • Collating and generating feedback reports
  • Accurately recording expenditure, including faculty claim forms, catering and travel
  • Providing administrative support for operational steering groups, including the taking of minutes
Essential Experience:
  • Proven experience of providing technical assistance to users of learning platforms
  • Proven experience of providing administrative support for the organisation of workshops and learning events
  • Proven experience of supporting facilitators in delivering training
  • Proven experience of recording financial information, including processing claim forms, catering and travel
  • Proven experience of minute taking
  • Experience of working both independently and as part of a team, whilst balancing a range of competing priorities
  • Experience of supporting team meetings, webinars, events and/or conferences online
  • Ability to work with minimal supervision; to plan and prioritise own workloads, and that of your team; and to meet deadlines
  • Flexible approach to learning and problem solving
  • Commitment to own personal and professional development, and that of your team
  • Highly developed customer service skills, with a helpful, flexible attitude
  • Understanding of the need for accuracy and attention to detail

  • Supervisory skills and experience including coaching and/or mentoring of team members
  • Proven expertise in using Microsoft 365, in particular Teams, Word, Excel, PowerPoint and SharePoint
  • Fast and accurate keyboard skills
  • Ability to meet the travel requirements of the post
Desirable Experience:
  • HND/Advanced Diploma level qualification with in-depth experience or SCQF Level 8 equivalence obtained via Professional Development Awards; Technical Apprenticeships; and SVQs
  • Experience of working collaboratively with a small team
  • Experience of contributing to quality improvement of processes
  • Experience of working within project management environments, planning and organising a variety of tasks, including involvement in multiple projects and programmes of work
  • Experience of working within a Health, Social Care or educational environment
  • Experience of working flexibly in complex/sensitive environments where the parameters of the job are not necessarily clearly defined
  • Ability to proactively manage and action a broad range of complex enquiries; including delegation/ allocation of work and ensuring follow up action is taken
  • Sound understanding of the application of GDPR to the storage and use of participant information and data privacy
  • An understanding of the wider combined health and social care system
