The Client

Harmonic are excited to be working with a disruptive design business whose early success in the corporate, hospitality, and restaurant space has them looking to expand their operations department. This company is in a unique position where their sustainable approach is remarkably complimented by exceptional designs and projects, making them the industry leader of their space.

This company has been able to grow to over circa 10 million turnover while maintaining a team of 20 high calibre professionals who are experts in their field. With an influx of incoming projects with brand new industry leading clients, this is a pivotal point for the company’s development. This role offers a unique opportunity for an exceptional individual with a talent for strategic leadership, project management, operational efficiency expertise to work alongside entrepreneurial professionals in a dynamic, and inclusive culture.

The Role

Reporting into an experienced Head of Operations, and working closely with the Founders, you will support the day-to-day administrative running of the business. This is a hands-on role that’s vital to ensuring the smooth execution of internal processes and project delivery. You will play a key part in supporting finance-related administration and helping maintain clarity and consistency across supplier and client communications.

This is a fantastic opportunity for someone who loves design, is process driven and detail oriented, and who is excited by the opportunity to work in a close-knit, ambitious team shaping the future of creative workspaces. You’ll gain exposure to multiple areas of the business and play an important part in helping the team stay efficient, aligned, and forward-thinking as they continue to scale.

Responsibilities

  • Upload and manage supplier invoices, ensuring accurate records are maintained.
  • Cross-check project budgets and flag any variances to the wider team.
  • Raise and issue client invoices, working with project leads to ensure accuracy and timeliness.
  • Support general office administration including meeting scheduling, document management, and supplies coordination.
  • Help maintain and update project tracking documents and internal databases.
  • Liaise with suppliers and clients to follow up on outstanding documentation or payments.
  • Support the onboarding process for new starters with admin and IT setup.
  • Assist with the preparation of internal reports and presentations.
  • Help organise company events and internal team meetings.

What our client needs to see (required):

  • Previous experience in an administrative, finance admin, or office assistant role.
  • Excellent organisational and multitasking skills.
  • High attention to detail and strong communication skills.
  • A proactive, can-do attitude with a team-oriented mindset.

What we’d like to see (preferred):

  • Experience in a creative, design, or architecture-led environment.
  • Knowledge of basic invoicing or budgeting processes.
  • Passion for sustainability and interest in design-led businesses.

Location: London (Hybrid)
