Responsabilités

  • Manage diary and organise internal/external meetings.
  • Arrange conference calls and videoconferences.
  • Coordinate complex domestic and international travel arrangements.
  • Process expenses using Concur and Ariba with policy awareness.
  • Complete i-Track weekly per policy.
  • File call reports weekly using Navigator.
  • Highlight out-of-policy expenses to Business Manager.
  • Ensure Deal Related Expenses (DRE) are captured.
  • Develop knowledge of bankers' clients and transactions.
  • Establish professional communication with stakeholders and clients.

Job Description

We are seeking an Administrative Assistant to join our Paris office, working in a fast‑paced environment. The role sits within the Investment Banking Administrative team and provides comprehensive support to Bankers across all levels of seniority, covering the French market as well as broader European businesses across industries and products.

This job is responsible for providing diverse and confidential administrative support, including extensive calendar management. Key responsibilities include supporting management with administrative tasks, coordinating travel arrangements, processing expenses, gathering and reporting information relevant to/for the Banker, and responding to incoming mail. Job expectations may include assisting with organizing in-person meetings and off-sites and managing different and conflicting objectives, projects, or activities in a responsive and personable manner.

The ideal Administrative Assistant will not only be responsible for administrative support, but also have a willingness to learn, be resourceful and independent, and take on additional responsibilities over time. They should possess excellent organizational skills, have the ability to effectively handle multiple priorities and an excellent work ethic.

Responsibilities

As an Administrative Assistant your main responsibilities will involve:

  • Diary management, including organising internal/external meetings

  • Arranging conference calls and video conferences internally and externally

  • Booking and making all necessary arrangements for complex domestic and international business travel

  • Handling expenses using Concur and Ariba systems – with a general understanding of the bank’s policies

  • Completing i-Track on a weekly basis as per policy

  • Filing call reports on a weekly basis using Navigator

  • Pre-empt and highlight to the Business Manager out of policy expenses

  • Ensure relevant Deal Related Expenses (DRE) is captured

  • Develop knowledge of banker’s clients, transactions and specific individuals where possible

  • Establish professional and effective communication at all levels with internal stakeholders, assistants in your area and cultivating relationships with external clients and their assistants

  • Handling sensitive and confidential material and information

  • Manage professional responses to telephone calls, taking ownership of queries

  • Management of email system, prioritising and responding where appropriate

  • Understanding the internal systems such as Concur Smartforms/Salesforce/Navigator (training will be given for all internal systems)

What we are looking for

  • Proven administrative assistant experience preferably in Investment Banking Financial Services environment

  • Excellent communication skills at all levels written and verbally in French and English

  • Confidence at dealing with people of all levels both internally and externally

  • Proactive style and ability to work independently and as a team player

  • Excellent organisational skills, with the ability to multitask, prioritise effectively, and manage a varied workload in a fast‑paced environment

  • Capable to work efficiently in a demanding environment

  • Excellent PC skills including Word, Excel, PowerPoint and Outlook

  • Experience using Concur

  • Accurate typing – approx. 50 wpm

  • Flexible approach to overtime and out of hours working patterns

  • Mature, calm and professional attitude at all times
