Job summary

Bird & Bird is seeking a Hospitality & Facilities Coordinator to take ownership of our hospitality and facilities at the heart of our Helsinki office. You will support client and employee experience, manage events, and lead reception and facilities teams in a collaborative, professional services environment.

The role offers a full-time position with a comprehensive benefits package. Office hours are 08:00–18:00 with occasional evenings; the role starts as soon as a suitable candidate is found,

We are looking for a Hospitality & Facilities Coordinator to join our team in Helsinki.

What you'll do

As the Hospitality & Facilities Coordinator you will lead our hospitality and facilities functions. In this role, you will work in a versatile and responsible position at the heart of the organization, where client and employee experience, administration, and supporting our business come together. You will work alongside colleagues in our reception and wider hospitality team and will manage a variety of different administrative and hands-on tasks, such as:

  • managing the reception and junior trainee teams
  • taking ownership of events
  • managing catering services
  • ensuring the representativeness, functionality and tidiness of our client-facing and workspace areas
  • maintaining and developing our office facilities
  • welcoming and interacting with visitors
  • arranging meetings; managing calendar, visitor management system and incoming calls
About you

Ideally, you have previous experience in high-quality customer service at an upscale hotel, conference services, hospitality, and/or at a law firm or other reputable professional services provider. Experience in leading a team as well as handling a wide range of administrative tasks is valued. In addition, you would be a great fit for us if you have:

  • insight into event organisation and catering
  • a commitment to maintaining a high-quality workplace environment through effective facilities coordination and service management
  • a proactive approach, can-do attitude and flexibility
  • the ability to juggle multiple tasks while maintaining a high level of accuracy and service quality

  • fluency in both Finnish and English
  • a desire to further develop and strengthen our customer service and employee experience

The role is expected to start as soon as a suitable candidate is found and from the beginning of December 2026 at the latest.
