Job summary

LOEWE in Madrid is seeking a Wholesale Assistant to support the Wholesale Manager and Account Executives in daily wholesale operations, ensuring clients receive timely, accurate updates across the order lifecycle.

You will coordinate across Commercial, Operations, Logistics and Finance, onboarding new wholesale clients and contributing to sales reporting, data tracking and client communications.

Qualifications

• Bachelor’s degree in Business Administration or a related field.
• 1 year of relevant work experience in a similar wholesale role.
• Fluency in Spanish and English; additional languages are a plus.
• Strong analytical, organisational and time management skills.
• Proficiency in Microsoft Excel and MS Office.

• Support the global Wholesale team in day-to-day account management and ensure timely responses to clients.
• Oversee wholesale order management from placement to delivery, ensuring accuracy.
• Monitor order status, deliveries, and resolve logistical issues in collaboration with internal teams.
• Coordinate with cross-functional teams to ensure data accuracy and smooth processes.
• Act as the primary contact for wholesale clients and manage onboarding and client databases.
• Support sales reporting, data tracking and client-facing reports.

As Wholesale Assistant, you will support the Wholesale Manager and Account Executives in the daily management of wholesale operations, ensuring clients receive exceptional service and accurate, timely communication throughout the order lifecycle. The role requires strong coordination across internal departments (Commercial, Operations, Logistics, and Finance) and proactive follow-up with external partners.

Your role will be:

Support the global Wholesale team in day-to-day account Management, assuring that clients are responded to in a timely manner and given the service needed to support their business.

• Oversee wholesale order management from placement to delivery, ensuring accuracy.
• Monitor order status, deliveries, and resolve logistical issues, aligning with internal teams.
• Collaborate with cross-functional teams (Operations, Logistics, Credit Control, Finance, Merchandising, Product) to ensure smooth processes and data accuracy.
• Coordinate with credit control on payments, invoicing, and blocked orders.
• Act as the primary contact for wholesale clients, addressing operational queries and providing updates.
• Assist in onboarding new wholesale clients and manage client databases.
• Support sales reporting, data tracking, and client-facing report preparation.
• Maintain client files, communication trackers, and internal communication logs.
• Support with the management of RTV processes, quality issues, and credit notes.

What is important for the role:

• Bachelor’s degree in Business Administration or a related field.
• At least one year of relevant work experience in a similar role.
• Fluency in both Spanish and English is required; additional languages are considered an asset.
• Strong analytical skills, excellent organisational abilities, and effective time management skills.
• Proficiency in Microsoft Office, particularly Excel.
• Previous experience with fashion or luxury brands is a plus, but not essential.
