IE University in Madrid is seeking a Program Assistant to manage day-to-day operations of the School of Science and Technology program. You will be the main liaison between students, professors and IE departments, handling communications, guidelines and logistics.

The role involves coordinating internships, supporting faculty, and ensuring a high-quality student experience through events and sessions. Fluency in English is essential; EU work eligibility is required.

Formación

  • Bachelor's degree preferred.
  • Strong proficiency in English; Spanish proficiency helpful but not required.
  • Excellent organization skills, detail-oriented and multi-tasking.
  • Strong desire to work in a multicultural environment and provide outstanding customer service.
  • Basic knowledge of audiovisual equipment is an asset.
  • Valid EU work permit.

Responsabilidades

  • Interact with Students: Meet with students, provide daily support and guidance.
  • Coordinate with class representatives and Directors/Managers.
  • Support students in solving simple technical issues.
  • Manage written and oral communications to students and communicate IE regulations.
  • Manage logistics for internships and reports; attend meetings.
  • Liaise with professors to communicate student needs and deadlines.
  • Ensure excellent student experience by supporting sessions and exams.
  • Coordinate logistics of program deliveries, catering and events.
  • Prepare internal and expense reports.
  • Organize and manage events and initiatives within the school.
  • Maintain program calendars and communications with alumni and faculty.

IE University’s School of Science and Technology is looking for an Program Assistant to join its team! The Program Assistant is responsible for the delivery and day-to-day management of the program. This includes acting as the primary point of contact between students, professors and various IE internal stakeholders and departments, as well as all related communications with them; implementing guidelines and policies; supporting program logistics and operations; supporting faculty members; and helping in all student-related services.

We are looking for a person to join a full-time position in Madrid - IE Tower.

Responsibilities

Your role as a Program Assistant will involve:

Interaction with Students:

  • Meet with students to solve issues, offer advice, and/or give support on a daily and regular basis.
  • Collaborate with class representatives in coordination with, and under the supervision of, Directors and Managers.
  • Support students in solving simple technical issues.
  • Manage (written and oral) communication to students, including all written regular communications and information points; presentations and information sessions; etc. and communication of IE regulations (exemptions, attendance, exam dates).
  • Management of extracurricular and curricular internships.
  • Attend class representative meetings and help preparing the corresponding reports.

Interaction with Professors and other departments:

  • Liaise with professors to communicate specific student or group situations, request feedback, ensure timely submission of grades, syllabi, etc.
  • Remind professors of key deadlines and follow up on pending items such as syllabi, grades, and meeting minutes.
  • Ensure excellent student experience throughout the program by supporting professors in the delivery of sessions/exams (e.g., external proctoring service coordination, assisting with virtual classes, etc.).
  • Collaborate with other IE Departments – such as the Administration Department, Admissions Department, Marketing Department, Planning, Documentation, Student Services, Student Life, Registrar's Office, Maintenance Dept., etc. – to ensure a successful student experience.
  • Manage the logistics of the program deliveries: caterings, organisation of extracurricular events (dinners, visits, etc.) and travel arrangements
  • Contribute to the preparation and edition of internal and expenses reports.

Internal Development:

  • Assist the Directors in the implementation of new curricular and extracurricular innovations.
  • Collaborate in the organization and management of events and initiatives within the school, ensuring smooth logistics and effective communication.
  • Take ownership of special program components, areas, initiatives, and projects.
  • Maintain and enhance academic guides and all other materials for students and faculty.
  • Manage all non-academic aspects of the program on a day-to-day basis.
  • Generate, update and make program calendars available to Faculty and Advisors through the online Campus.
  • Foster a learning community around course topics by maintaining regular communication with alumni, experts, and faculty.
  • Administrative support for the development of innovative learning methodologies and tools.
  • In collaboration with Academic Directors and internal Faculty, helping to organize, and schedule panels for final project presentations, and ensure that students, faculty, and advisors are informed of the dates.
Qualifications
