Madrid & Beyond, a boutique luxury DMC, seeks an Itinerary Manager in Madrid to transform travel concepts into flawless journeys. You will support a Travel Designer and oversee operations from confirmation to handover, coordinating hotels, transport, experiences and requests.

The role requires strong organisation, attention to detail and fluency in Spanish and English, with Portuguese a plus. Hybrid work model: 2 days in the office.

Formación

• Two years’ experience in travel industry, luxury/tailor-made preferred.
• Excellent written and spoken Spanish and English.
• Portuguese is a plus.
• Good knowledge of Microsoft Office.
• Strong organisational and communication skills.
• Ability to manage multiple trips and priorities.

Responsabilidades

• Manage trips from confirmation through pre-arrival handover.
• Book and coordinate hotels, transport, guides, experiences, restaurants and special requests.
• Prepare detailed client-ready itineraries.
• Work with suppliers across Spain and Portugal.
• Manage amendments, operational changes.
• Anticipate issues and find solutions.
• Prepare journey for handover to Trip Host team.

WE’RE HIRING | ITINERARY COORDINATOR

Based in MADRID

Hybrid position: 2 days per week in the office

Madrid & Beyond is a boutique luxury DMC creating exceptional, tailor-made journeys across Spain and Portugal, primarily for discerning travelers from the US. We work with some of the finest hotels, guides and insider experts across the Iberian Peninsula to create experiences that go far beyond the ordinary.

Our motto is “It’s all about the people”, and we mean it. We’re now looking for an Itinerary Manager to join our Madrid team.

Working alongside and supporting one of our Travel Designers, you’ll take over the operational management of each journey once confirmed, transforming what has been designed into a seamless reality for our clients.

What you’ll be doing:

• Managing trips from confirmation through to pre-arrival handover
• Booking and coordinating hotels, transport, guides, experiences, restaurants and special requests
• Preparing detailed, client-ready itineraries
• Working closely with our network of suppliers across Spain and Portugal
• Managing amendments, additional requests and operational changes
• Anticipating potential issues and finding smart solutions before they become problems
• Preparing each journey for a smooth handover to our Trip Host team

We’re looking for someone who is highly organised, proactive, resourceful and calm under pressure, with an exceptional eye for detail, cultural curiosity and a genuine passion for travel and outstanding service.

You’ll need:

• At least 2 years’ experience in the travel industry, preferably arranging tailor-made or luxury travel
• Excellent written and spoken Spanish and English
• Some command of Portuguese is a plus
• Good knowledge of the Microsoft Office package
• Strong organisational, communication and relationship-building skills
• A proactive, solution-driven mindset
• The ability to manage multiple trips and priorities simultaneously
• The legal right to work in Spain and to be based in Madrid
