Job summary

Maisa is seeking an exceptional Executive Assistant to join the leadership team and support one of Europe’s exciting AI companies during a pivotal growth phase. This role offers remote work with a Valencia hub presence and opportunities to influence how we collaborate and shape our culture.

You will coordinate calendars across time zones, prepare board materials, and manage travel logistics while supporting high-impact projects and employer branding initiatives.

Qualifications

• 5+ years supporting founders, CEOs, or C-level executives in fast-paced environments.
• Highly organised, proactive and able to anticipate needs.
• Excellent written and verbal communication in English and Spanish.
• Discreet, trustworthy, and professional with sensitive information.
• Solution-oriented with proactive problem-solving.
• Passionate about people, culture, and building meaningful teams.
• Spain Remote with Valencia hub presence beneficial; occasional visits may be required.

Responsibilities

• Act as right-hand support to the CEO and coordinate across the executive leadership team.
• Manage complex, multi-time-zone calendars and high-volume inboxes with autonomy.
• Coordinate domestic and international travel, visas, flights, and hotels.
• Prepare briefing notes, board materials, presentations, and meeting follow-ups.
• Serve as a trusted point of contact for internal and external stakeholders.
• Support high-impact operational and strategic projects for the executive team.
• Co-lead engagement events, offsites, and milestone celebrations to bolster employer branding.

What You'll Do

• Prepare briefing notes, board materials, presentations, agendas, and meeting follow-ups
• Serve as a trusted point of contact for internal and external stakeholders
• Assist high-impact, operational and strategic projects on behalf of the executive team
• Support employer branding and culture by co-leading engagement events, offsites, and milestone celebrations

What We're Looking For

• 5+ years supporting founders, CEOs, or C-level executives in a high-growth startup, scale-up, technology company, consulting environment, or fast-paced corporate setting
• Comfortable operating in dynamic, constantly-changing environments with ambiguity and urgency
• Highly organised, proactive, and able to anticipate needs before they ariseStrong prioritisation instincts: you know what matters, what can wait, and what needs action now
• Outstanding written and verbal communication in both English and Spanish
• Discreet, trustworthy, and professional when handling sensitive information
• Solutions-oriented: you flag problems with recommendations, not just issues
• Passionate about people, culture, and building something meaningful
• Spain Remote. Valencia-hub presence beneficial, sporadical visits required on a need-basis.
